Full job description

We are looking for a proactive and highly organised Cross-Functional Operations Manager to coordinate priorities, projects, and timelines across the company.

You will work closely with the founders, business heads, logistics, social media, designers, video editors, production teams, and external partners. You will act as the central point of coordination, turning discussions into action plans, assigning clear ownership, tracking progress, resolving blockers, and ensuring work is completed on time.

This is not a personal-assistant or purely administrative role. It requires hands-on execution, accountability, sound judgement, and consistent follow-through.

Key Responsibilities

Coordinate cross-functional projects from planning through completion.
Work directly with founders and business heads to understand priorities and convert them into action plans.
Define tasks, owners, deadlines, dependencies, and expected outcomes.
Maintain company-wide project trackers, calendars, and status reports.
Follow up with teams and ensure commitments are completed on schedule.
Identify delays, dependencies, and operational blockers before they affect delivery.
Escalate important issues with clear context and recommended solutions.
Coordinate product launches, campaigns, shoots, events, and other business initiatives.
Align social media, designers, video editors, photographers, and content teams.
Plan shoot schedules, deliverables, products, locations, resources, and approvals.
Coordinate with logistics and fulfilment teams regarding inventory, dispatches, samples, returns, and delivery timelines.
Ensure marketing and content plans are aligned with product availability and operational readiness.
Organise meetings when required and document decisions, responsibilities, and deadlines.
Provide founders and business heads with concise progress updates.
Build and improve workflows, standard operating procedures, and communication systems.
Maintain organised records of briefs, approvals, project plans, and final deliverables.
Hold internal and external stakeholders accountable for agreed timelines.

Requirements

3–5 years of experience in operations, project management, program coordination, creative operations, or a similar role.
Demonstrated experience coordinating multiple teams and stakeholders.
Strong project-management, planning, prioritisation, and follow-up skills.
Ability to manage several projects and deadlines simultaneously.
Excellent written and verbal communication skills.
Strong problem-solving ability and willingness to take ownership.
Ability to turn broad discussions into clear, actionable tasks.
Comfortable working directly with founders and senior business leaders.
Strong attention to detail without losing sight of business priorities.
Proficiency with spreadsheets, project-management tools, and shared calendars.
Ability to work effectively in a fast-moving and evolving environment.

Preferred Experience

Experience with fashion, luxury, lifestyle, retail, e-commerce, or D2C brands.
Experience coordinating logistics, creative production, marketing, and business operations.
Familiarity with photo and video shoots, social-media workflows, and product launches.
Experience managing agencies, freelancers, vendors, or production partners.
Familiarity with tools such as Asana, ClickUp, Trello, Notion, or similar platforms.

Teams remain aligned without founders having to follow up repeatedly.
Delays and dependencies are identified and resolved early.
Product launches, campaigns, shoots, and logistics activities run smoothly.

Company-wide execution becomes faster, more structured, and more accountable.
