We currently serve 300+ customers in the United States, including several well-known brands.
Role Overview
We are looking for a highly organized, proactive, and detail-oriented Executive Assistant to the CEO to provide comprehensive administrative and executive support.
The role involves managing the CEO's calendar, email communications, meetings, travel arrangements, documentation, follow-ups, and day-to-day priorities. You will work closely with the CEO and leadership team to ensure smooth coordination, timely execution of tasks, and effective communication across internal and external stakeholders.
The ideal candidate should be highly professional, discreet, organized, and capable of managing multiple priorities in a fast-paced business environment.
Key Responsibilities
- Manage the CEO's email inbox, prioritize important communications, and maintain an organized inbox with a focus on inbox zero.
- Manage the CEO's calendar, including scheduling, rescheduling, and coordinating meetings.
- Coordinate meetings across different time zones, particularly with India and US teams.
- Prepare meeting agendas, documents, presentations, and other required materials.
- Take accurate meeting notes and prepare meeting recaps, action items, and follow-ups.
- Track deadlines, commitments, pending tasks, and ensure timely follow-ups and reminders.
- Manage travel planning and itinerary management for the CEO.
- Coordinate flight, hotel, ground transportation, and other travel arrangements.
- Track business-related expenses and coordinate reimbursement submissions.
- Maintain and organize important contacts and relationships with internal and external stakeholders.
- Manage and organize important documents, files, reports, and business information.
- Draft professional emails, correspondence, and communications on behalf of the CEO when required.
- Coordinate with internal teams to ensure timely completion of tasks assigned by the CEO.
- Maintain strict confidentiality of sensitive business and executive information.
- Handle ad-hoc administrative, operational, and coordination requirements for the CEO.

Compensation & Benefits

- Strong problem-solving and decision-making abilities.
- Comfortable working night shifts aligned with US business operations.
- Experience supporting a CEO, Founder, Director, or senior executive is preferred.
- Experience working with international teams or US-based stakeholders is an advantage.
- Bangalore candidates preferred.
