Job Description – Front Office Supervisor

Department: Front Office
Reports To: Front Office Manager
Location: Four-Star Hotel

Position Summary

The Front Office Supervisor is responsible for supervising the daily operations of the front desk and ensuring excellent guest service standards are maintained at all times. The role includes coordinating front office staff, handling guest concerns, monitoring check-in/check-out procedures, and ensuring smooth communication between departments to provide a memorable guest experience.

Key ResponsibilitiesOperational Responsibilities

Supervise daily front office operations including reception, cashiering, guest relations, and concierge services.
Ensure smooth and efficient check-in and check-out procedures.
Monitor room availability, room status, and guest preferences.
Handle guest complaints, requests, and emergencies professionally and promptly.
Ensure all guest records and registration details are accurately maintained.
Coordinate with Housekeeping, Engineering, Food & Beverage, and Security departments for guest requirements.
Monitor lobby appearance and front office cleanliness standards.
Ensure proper shift handover and communication between team members.
Maintain cash float, billing accuracy, and night audit coordination when required.

Team Supervision

Supervise and guide Front Office Associates, Receptionists, Bell Desk, and Guest Service staff.
Conduct daily briefings and assign duties to team members.
Train new employees on hotel policies, SOPs, grooming, and guest handling procedures.
Monitor staff grooming, punctuality, discipline, and performance.
Assist in preparing duty rosters and leave schedules.

Guest Service

Welcome VIP guests and ensure personalized service.
Maintain high standards of hospitality and guest satisfaction.
Upsell rooms and hotel services whenever possible.
Ensure prompt response to guest inquiries and special requests.

Administrative Responsibilities

Prepare daily reports related to occupancy, arrivals, departures, and guest feedback.
Ensure compliance with hotel policies, safety procedures, and statutory requirements.
Assist management in achieving departmental targets and service standards.

Required Qualifications

Bachelor’s degree or Diploma in Hotel Management or Hospitality Management preferred.
Minimum 2–4 years of experience in Front Office operations in a hotel, with at least 1 year in a supervisory role.
Good knowledge of hotel management software
Strong communication and interpersonal skills.
Ability to work in shifts, weekends, and holidays.
Well-groomed personality with professional appearance.
