ABOUT THE BLOX GROUP
The Blox Preschool Group is a fast-growing education and energy organisation based in Panipat, Haryana operating under Learnify Education. We run two branches of The Blox Preschool (Model Town and Huda 13/17) with a combined team of 50+ staff, along with a B2B bulk diesel fuel station.
We are a systems-driven organisation with documented SOPs, FMS processes, checklists, and KRA-based performance measurement already in place. We are now looking for a dedicated HR Executive to manage our most important asset — our people.
ABOUT THE ROLE
You will be the HR Executive for The Blox Group — owning the complete HR function across both preschool branches and the fuel station. This is a standalone HR role responsible for keeping our team strong, trained, and performing.
With 50+ team members and constant movement at the teaching level, this role requires someone who is organised, proactive, and comfortable managing the full employee lifecycle from recruitment to exit.
YOUR 6 CORE RESPONSIBILITIES
Based on our HR Management Framework:
1. RECRUITMENT
- Post job openings on Indeed, Apna, Workindia, LinkedIn, and internal references
- Screen CVs and conduct first-round phone interviews
- Coordinate second and third round interviews with branch heads and owner
- Maintain a live Recruitment Tracker — all candidates, stages, and outcomes logged
- Maintain a substitute teacher panel — minimum 5 to 8 ready-to-deploy teachers at all times
- Owner takes only the final interview — everything before that is your responsibility
- Target: fill any open position within 10 to 14 days of it opening
2. INDUCTION PROCESS
- Issue Offer Letter with 3-month probation terms on day of selection
- Ensure new joinee submits resignation from previous organisation within 7 days
- Issue Joining Letter on Day 1 of joining
- Conduct full Day 1 induction — meeting with owner, org chart walkthrough, reporting structure, company values, FMS and checklist handover
- Collect and digitise all documents — educational, residential, personal
- Issue Appointment and Confirmation Letter after 3 to 6 months of probation
- Maintain individual staff files — physical and digital — for all 50+ team members
3. TRAINING PROCESS
- Identify training needs for each role quarterly — knowledge, skill set, team building, leadership
- Coordinate and schedule monthly training sessions for teaching and non-teaching staff
- Maintain training attendance records
- Ensure all new joiners complete their role-specific FMS and checklist training within first 2 weeks
- Coordinate with branch heads for on-the-job training support
4. DAILY LEAVE MANAGEMENT
- Manage daily attendance and leave across both branches
- When a teacher calls in leave — immediately activate substitute from the substitute panel
- Inform branch head and coordinate coverage within 30 minutes of leave notification
- Maintain monthly leave records for all staff
- Flag excessive leave patterns to owner in weekly report
- Ensure no class is ever uncovered due to teacher absence
5. APPRAISALS AND INCREMENTS
- Conduct quarterly appraisals for all staff based on MIS score (80%) and Delegation Sheet (20%)
- Prepare individual appraisal hard copy for each staff member every quarter
- Calculate increment eligibility — yearly, maximum 7-10% , automatic based on scores
- Present increment recommendations to owner — no negotiation, purely number-based
- Maintain appraisal history for every employee from date of joining
6. EXIT PROCESS
- Conduct exit interview for every departing employee — find actual reason for exit
- Identify organisational gaps from exit feedback and report to owner
- Manage 15-day notice period and handover process
- Ensure all company property returned and documentation completed
- Maintain an exit log — patterns identified and shared with owner quarterly
- Always leave the departing employee on a good note — never burn bridges
YOUR DAILY ROUTINE
8:30 AM — Check attendance for both branches. Any absent teacher — activate substitute immediately. 9:00 AM — Confirm substitute coverage confirmed and branch head informed. 10:00 AM — Check open recruitment positions — follow up on pending candidates. 11:00 AM — Handle any HR documentation, file updates, or correspondence. 12:00 PM — Coordinate with branch heads on any staff issues or concerns. 3:00 PM — Update Recruitment Tracker and Staff Database. 5:00 PM — Prepare daily HR update — leave status, open positions, any escalations.
Every Monday — Submit HR weekly report to owner: attendance summary, open positions, appraisal dates due, any staff concerns.
Every Friday — Update appraisal scores and prepare for quarterly review if due.
WHAT WE ARE LOOKING FOR
Must-Have Qualities:
- ORGANISED — you maintain files, trackers, and records without anything slipping
- PEOPLE-ORIENTED — you can have difficult conversations with staff kindly and firmly
- PROACTIVE — you fill positions before they become a crisis, not after
- SYSTEMATIC — you follow the HR framework without needing reminders
- CONFIDENTIAL — all staff information handled with complete discretion
- CALM UNDER PRESSURE — when 3 teachers call in sick on the same day, you handle it
Skills Required:
- Strong communication in Hindi and English
- Proficient with Google Sheets, WhatsApp, Gmail, basic documentation
- Comfortable conducting interviews and giving feedback to candidates
- Experience managing staff attendance and leave systems
- Basic knowledge of offer letters, joining letters, and HR documentation
Qualifications:
- Graduate in any discipline — MBA in HR or BBA preferred
- Minimum 1 to 2 years experience in HR, administration, or people management
- Experience in a school, preschool, or education organisation is a strong plus
- Panipat-based or willing to relocate — immediate joining required
