The role is designed to ensure that the Director’s administrative and day-to-day commitments are managed seamlessly, allowing them to operate with clarity, focus, and efficiency. A significant part of the responsibility involves managing schedules, appointments, travel, household coordination, and private engagements, as well as limited but critical professional support activities.
Your contribution will directly enhance the Director’s quality of time management, responsiveness, and overall effectiveness. You will be expected to proactively manage calendars, coordinate meetings, plan travel and logistics, organize events, and ensure smooth communication across stakeholders.
The role involves handling errands, confidential matters, hospitality arrangements, and coordination for family, guests, and visitors, ensuring that all requirements are addressed with care, foresight, and discretion.
The ideal candidate will be someone who can anticipate needs well in advance, manage multiple priorities independently, and adapt seamlessly to the Director’s preferences, working style, and evolving commitments. What Would You Be Doing?
- Provide comprehensive support to the Director, ensuring smooth coordination and execution of daily commitments, routines, and engagements.
- Manage schedules, appointments, reminders, and private engagements to ensure nothing is overlooked or delayed.
- Handle errands and logistical coordination, including travel planning, accommodation, local movements, hospitality arrangements, and coordination for visiting guests / associates.
- Anticipate upcoming needs by planning ahead, managing dependencies, and ensuring all materials, documents, and arrangements are in place well in advance.
- Serve as a trusted point of contact for communication, call screening, messages, and requests, with sensitivity and judgment.
- Support select professional responsibilities, including coordinating meetings, preparing basic documentation, follow-ups, and assisting with limited business-related tasks as required.
- Assist in coordinating participation in events, conferences, and social or professional engagements, ensuring preparedness from a representational perspective.
- Liaise discreetly with internal teams, vendors, service providers, and external stakeholders on behalf of the Director.
- Maintain strict confidentiality across all personal, financial, and professional information.
- Remain flexible to accommodate extended hours, last-minute changes, and evolving priorities.
