What this job involves:
Project Management
An essential part of your role will involve managing design operations on projects, responding to stakeholder requests, project scoping, keeping stakeholders updated on project status & ensuring delivery within SLAs. Alongside, you will also interpret briefs, ensure complete details are provided for the team to initiate work, and maintain records of all invoices and billings. You will also be expected to flag & escalate issues on time & update the team issues log.
Relationship Building
The process of workflow coordination involves building strong relationships with requestors & stakeholders through active communication on projects, addressing queries promptly, setting expectations early, and providing a smooth experience throughout project delivery. You will have to liaise closely with internal teams, facilitate kick-off calls for complex projects, and document key milestones.
Reporting
Managing operations requires visibility into the overall workflow across the teams. You will be working with data on the workflow management tool to help create daily, weekly, monthly & ad hoc reports for stakeholders and internal teams.
Creative Operations
You will be working on projects with various collaterals – Brochures, Flyers, Handbooks, Webpages, Infographics, Videos etc. You will be expected to have a sound understanding of design guidelines, principles, and scoping timelines. You will be liaising with the requestors to better understand their creative requirements. Managing projects independently will be a part of your role.

Process & Data Orientation
Experience managing creative or digital operations in an agency or service delivery setup is a must. You need strong organizational skills to plan, prioritize, and deliver multiple projects throughout the day. Having worked with cross-functional teams, such as digital and design, will be an added advantage. To succeed in the role, it is essential that you understand the process, adhere to it, and recommend improvements from time to time.
Attention to Detail & Great Communication
One of the main responsibilities of the workflow coordinator will be to liaise between the functional teams and the stakeholders. It will involve clear, concise communication throughout the request intake process, understanding briefs, aligning expectations with teams and stakeholders, and collecting feedback. You will be expected to have excellent written & verbal communication skills to deliver projects.
Thinking design
You’ll be expected to have a fundamental understanding of the differences between various design collaterals and the effort required for it. You will lead the execution of all Workfront design requests under JLL Business Services. Having worked in a creative operations setup is mandatory.
Microsoft Suite Expertise
This role would entail multiple tasks that require proficiency in basic Microsoft software, such as Word, Excel, and PowerPoint.
Time and Team Management
You will be working across tasks with a host of different teams, an experience with driving multiple tasks across time zones at the same time, while ensuring all best practices are applied – you should be able to plan your time, bandwidth, and tasks efficiently and effectively
