Full job description

1. Front Desk & Visitor Management

Greet visitors respectfully and ensure a positive first impression
Arrange tea/coffee for guests and visitors when required
Manage visitor entry, issue visitor passes, and maintain visitor logs
Inform concerned departments/employees about visitor arrivals
Ensure reception area is clean, organized, and presentable at all times
Maintain all the plants and front Temple properly.

2. Telephonic & Communication Management

Receive, screen, and route incoming calls professionally
Take accurate messages and ensure timely communication
Handle general inquiries and provide correct information or redirection
Manage official email inboxes related to front-desk communication

3. Hospitality Management

Ensure timely distribution of drinking water bottles to all employees
Provide tea/coffee to employees as instructed
Maintain basic hospitality standards at the reception area

4. Administrative Support

Maintain records, registers, and basic documentation
Assist in data entry, filing, scanning, and photocopying
Coordinate meeting room bookings and basic arrangements
Support HR/Admin team with joining formalities, ID cards, attendance coordination, etc.

5. Coordination & Support

Support courier, dispatch, inward–outward, and visitor’s register maintenance
Maintain and update daily checklist of housekeeping staff
Report facility, safety, or visitor issues to the concerned person

6. Compliance & Confidentiality

Follow company policies, security protocols, and confidentiality norms
Ensure adherence to safety and emergency procedures
Handle sensitive information responsibly

Authority & Accountability

Handle and redirect calls, visitors, and inquiries as per company protocols
Issue visitor passes and maintain front-office records responsibly
Coordinate with internal departments, security, housekeeping, and vendors for smooth front-office operations
Escalate matters related to security, safety, facilities, or complaints to Admin/HR/Management
Maintain confidentiality of information and ensure compliance with company policies
Be accountable for professional conduct, accuracy of records, timely communication, and overall front-office efficiency

Skills & Competencies

Effective verbal and written communication skills
Professional etiquette with a customer-focused approach
Basic computer proficiency (MS Office, email, office equipment)
Good organizational, coordination, and multitasking ability
Attention to detail with accurate record-keeping skills

Quality of visitor handling and first-impression feedback
Call management efficiency and message accuracy
Timeliness and effectiveness of communication and coordination
Accuracy and maintenance of front-office records and registers
Adherence to professional conduct, grooming, and policies
Punctuality, attendance, and overall responsiveness

Reporting Structure

Reports to: HR Manager
Coordinates with: All departments, security, housekeeping

Pay: ₹8,000.00 - ₹9,000.00 per month
