PURPOSE OF THE POSITION
The HR Payroll & Benefits Specialist (US) is a hands-on, execution-focused role responsible for accurate and timely processing of U.S. payroll, payroll-linked reporting, and day-to-day benefits administration.
This role is designed for a highly detail-oriented professional who excels at process execution, data accuracy, and follow-through, with the opportunity to grow into broader ownership over time based on performance.
ROLE SCOPE & EXPECTATION

- Strategic design and independent decision-making will evolve gradually with experience
- Work is performed under defined policies, SOPs, and supervisory oversight
KEY RESPONSIBILITIES1. U.S. Payroll Execution & Validation
- Support and execute bi-weekly U.S. payroll processing in coordination with Finance and the payroll provider.
- Review and validate, on a weekly and bi-weekly basis:
- Employee timesheets
- Attendance / sign-in records
- Expense submissions linked to payroll
- Identify discrepancies and coordinate corrections with supervisors and project teams before payroll cut-off.
- Ensure payroll data accuracy related to:
- Hours worked
- Overtime
- PTO, holidays, and approved leave
- Maintain payroll checklists and documentation for audit readiness.
2. Payroll-Linked Reporting (Projects & Clients)
- Prepare monthly project-specific payroll reports using predefined templates.
- Accurately allocate labor costs by:
- Project
- Cost center
- Client (where applicable)
- Share finalized reports with:
- Internal Accounts / Finance teams
- Client representatives, as instructed
- Support reconciliations and follow-ups related to labor cost reporting.
3. Benefits Administration (US)
- Administer day-to-day U.S. employee benefits, including:
- Medical, dental, vision
- Life and disability insurance
- Retirement / 401(k), where applicable
- Process:
- New hire enrollments
- Terminations
- Qualifying life event changes
- Ensure timely and accurate communication of enrollment changes to third-party benefit providers.
- Respond to employee queries related to benefits enrollment, deductions, and coverage.
4. HRIS & Payroll System Updates
- Maintain accurate employee data in the HRIS / payroll system, including:
- Personal details
- Job and compensation changes
- Project and cost center mappings
- Ensure payroll-related system entries align with approved documentation.
- Escalate system issues or data inconsistencies to HR / Finance leadership.
5. Compliance Support & Documentation
- Support compliance with U.S. labor and benefits regulations, including:
- FLSA
- ACA
- ERISA
- COBRA
- HIPAA
- Assist with audits, filings, and data requests (e.g., payroll audits, benefits audits).
- Maintain organized records to support internal and external reviews.
6. Coordination & Communication
- Work closely with:
- Finance & Accounting
- HR leadership
- Project teams
- Payroll and benefits vendors
- Escalate risks, errors, or delays promptly.
- Maintain confidentiality and discretion in handling sensitive employee data.

- Review timesheets, attendance, and expenses
- Prepare payroll inputs and validation reports
- Process benefits enrollments and changes
- Update HRIS and payroll systems
- Generate monthly project payroll reports
- Respond to employee payroll and benefits queries
- Maintain compliance documentation and checklists
QUALIFICATIONS & EXPERIENCE
- Bachelor’s degree in Human Resources, Accounting, Finance, or Business Administration
- 3–6 years of hands-on experience in U.S. payroll and/or benefits administration
- Working knowledge of U.S. payroll and labor regulations
- Must have hands on experience using payroll / HRIS platforms ADP, and Paychex.
- Strong proficiency in Excel / Google Sheets
Demonstrated attention to detail and data accuracy
Pay: ₹1,200,000.00 - ₹1,500,000.00 per year
