Role Overview
We are seeking a highly organized and proactive Project Analyst to support leadership and team operations across a global environment. The role involves managing schedules, coordinating meetings, supporting team initiatives, maintaining project documentation, tracking action items, and ensuring smooth execution of operational activities. You will work closely with leadership and stakeholders across multiple time zones, requiring strong organizational skills, attention to detail, and the ability to manage competing priorities effectively.
Key Responsibilities
Leadership Support:
- Manage complex calendars for leadership across multiple time zones.
- Provide day-to-day administrative and operational support to leadership.
- Coordinate meetings, reviews, 1:1s, and stakeholder interactions across global teams. Ensure efficient scheduling and follow-up of key business discussions.
Team Operations & Coordination:
- Organize end-to-end team offsites, including venue selection, travel arrangements, agenda planning, logistics coordination, and post-event follow-ups.
- Support Quarterly Business Reviews (QBRs) and similar meetings by coordinating schedules, preparing presentations, managing logistics, capturing Minutes of Meeting (MoMs), and tracking action items to closure.
- Schedule leadership reviews, team meetings, and stakeholder sessions efficiently.
- Manage meeting logistics, including invitations, conference room bookings, virtual meeting setup, note-taking, and follow-up actions.
Stakeholder Management & Communication:
- Coordinate with internal and external stakeholders to ensure seamless execution of activities and deliverables.
- Facilitate communication across teams and ensure timely updates on ongoing initiatives.
- Adapt quickly to changing priorities and last-minute schedule changes.
Documentation & Reporting:
- Maintain trackers, documentation, administrative records, and team reports.
- Support preparation of presentations, meeting materials, and business updates.
- Track budgets, invoices, and other operational activities as required.
- Ensure accurate documentation of discussions, decisions, and action items.
Team Engagement & Events:
- Plan and execute team engagement activities, including team lunches, recognition events, celebrations, and internal gatherings.
- Support initiatives that promote collaboration and team culture.
Key Skills
- Strong organizational and coordination skills with exceptional attention to detail.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Strong stakeholder management and follow-up capabilities.
- Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word), Microsoft Teams, Zoom, and collaboration tools.
- Ability to work independently while coordinating effectively with distributed teams.
Qualifications
- 5–6 years of experience in Executive Administration, Team Administration, Executive Assistant, Project Coordination, Operations Coordination, or similar roles.
- Experience supporting senior leadership and global teams.
- Demonstrated ability to manage multiple priorities simultaneously.
- Experience working in cross-functional and multicultural environments is preferred.
Work Requirements
- Preferred working hours are aligned with UK business hours, typically starting from 2:00 PM IST onwards.
- Flexibility to work beyond scheduled hours may occasionally be required based on business needs and stakeholder requirements.
- Occasional travel to Hyderabad, Mumbai, or other business locations may be required for team meetings, offsites, events, or business-related activities.

Pay: ₹900,000.00 - ₹1,000,000.00 per year
