PalmVeda Foundation is seeking a highly organized, professional, and proactive Receptionist & Executive Assistant to support daily operations, appointment management, executive coordination, and event scheduling. The ideal candidate will be the first point of contact for clients and visitors while ensuring smooth management of schedules, meetings, and administrative activities.

Working Schedule
- Working Days: Wednesday to Monday
- Weekly Off: Tuesday
- Working Hours: 10:00 AM – 6:00 PM
- On event days, workshops, seminars, or special programs, working hours may extend to 11:00 AM – 7:00 PM based on operational requirements.
About the Role
This role requires excellent communication skills, strong organizational abilities, and a professional demeanor. You will work closely with senior management to manage appointments, coordinate meetings, handle communications, and support the successful execution of events and programs.
Key Responsibilities
- Answer and manage incoming phone calls professionally.
- Schedule, confirm, and manage client appointments and consultations.
- Manage the calendar and daily schedule of senior management.
- Coordinate internal and external meetings.
- Arrange meeting schedules, reminders, and follow-ups.
- Welcome and assist visitors and clients.
- Maintain records of appointments, inquiries, and communications.
- Handle email correspondence and basic administrative tasks.
- Coordinate events, workshops, seminars, and special programs.
- Liaise with internal teams to ensure smooth day-to-day operations.
- Maintain confidentiality while handling sensitive information.
- Assist management with administrative and operational support as required.
Required Qualifications
- Graduate in any discipline.
- Excellent verbal and written communication skills in Hindi and English.
- Strong interpersonal and customer service skills.
- Proficiency in Microsoft Office, Google Workspace, and calendar management tools.
- Good organizational and multitasking abilities.
- Ability to prioritize tasks and work independently.
- Professional appearance and positive attitude.
Preferred Qualifications
- 1–3 years of experience as a Receptionist, Front Desk Executive, Executive Assistant, Administrative Executive, or similar role.
- Experience in appointment scheduling and customer coordination.
- Experience in organizing events, workshops, seminars, or public programs.
- Familiarity with CRM or scheduling software is an advantage.
