Full job description

1. Job Purpose

To support the management and office team in day-to-day administrative and operational activities, including documentation, coordination with customers and suppliers, dispatch management, data entry, and follow-up of routine business activities.

2. Key ResponsibilitiesOffice Administration

Maintain and organize company documents, records and files.
Prepare, print, scan and maintain business documents.
Assist in preparing quotations, purchase orders, invoices and other routine documents.
Maintain basic office records and reports.
Handle incoming and outgoing business correspondence.

Customer & Supplier Coordination

Coordinate with customers and suppliers regarding routine requirements.
Follow up on quotations, orders, deliveries and pending documents.
Communicate with vendors and service providers as instructed by management.
Maintain records of customer and supplier communications.

Dispatch & Logistics Coordination

Coordinate with courier and transport companies for dispatches and deliveries.
Prepare dispatch documents and maintain delivery records.
Track shipments and provide status updates to the concerned person.
Coordinate collection and delivery of business documents/materials.

Banking & Outdoor Business Work

Submit and collect business documents from banks, courier companies, government offices and other organizations when required.
Assist with routine banking and documentation-related activities.
Collect documents/materials from customers and suppliers as instructed.
Coordinate with transporters and logistics providers.

Management Support

Assist management with day-to-day business coordination.
Maintain follow-up lists for pending tasks, orders, payments and documents.
Collect required information from customers, suppliers and internal departments.
Carry out assigned administrative and coordination tasks independently.
Maintain confidentiality of company and customer information.

3. Skills & Qualifications

Minimum 12th Pass preferred; graduate candidates will be preferred.
Basic computer knowledge is required.
Working knowledge of MS Excel, Word and email.
Good communication skills in Hindi and English.
Good organizational and follow-up skills.
Ability to communicate professionally with customers and suppliers.
Ability to handle multiple tasks and meet deadlines.
Two-wheeler and valid driving licence preferred for business-related outdoor coordination.
