Position: Personal Assistant to Director cum Front Desk Receptionist

Job Overview

Papillon Paints is seeking a dynamic, organized, and multi-skilled professional to serve in a dual role as Personal Assistant (PA) to the Director and Front Desk Receptionist. You will act as the administrative backbone of our regional office, bridging communications between our Mumbai manufacturing unit, factory outlets across Kerala, franchisees, contractors, painters, and direct customers.

Key Responsibilities

Executive Assistance & Director Support

Manage the Director’s daily schedule, meeting appointments, travel arrangements, and priority calendars.
Draft executive correspondence, reports, and presentation materials.
Facilitate seamless daily coordination between the Director, the Mumbai manufacturing unit, and the Kerala sales/outlet teams.
Screen inbound emails, calls, and requests; track pending action items to ensure timely follow-up.

Front Desk & Reception Operations

Serve as the primary face of Papillon Paints, welcoming visiting contractors, dealers, painters, franchisees, and retail customers with warmth and professionalism.
Manage the central office switchboard—answering, filtering, and directing inbound calls appropriately.
Handle incoming/outgoing mail, couriers, and sample deliveries destined for outlets or clients across Kerala.
Maintain a clean, professional, and well-organized reception area and main conference room.

Operations & Coordination

Log direct customer inquiries, contractor requests, and franchisee feedback, routing them to the relevant team leads.
Assist in maintaining records for franchisee agreements, outlet communications, and sales visit schedules.
Oversee office inventory, stationary, and utility management for smooth day-to-day office functioning.

Candidate Profile & Qualifications

Education: Bachelor’s degree in Business Administration, Communications, Commerce, or a related field.
Experience: 1 year of experience in an executive assistant, front desk, or customer-facing administrative role (experience in manufacturing, building materials, or retail network environments is a strong plus).
Language Proficiency: Fluency in Malayalam and English is required; proficiency in Hindi is highly desirable for effective coordination with the Mumbai operations team.
Tech Skills: Proficiency in MS Office Suite (Word, Excel, PowerPoint), email applications, and basic CRM/data management tools.

Key Competencies

Excellent verbal and written communication skills.
Strong organizational abilities with a knack for multitasking and prioritizing under pressure.
Polished interpersonal skills and professional composure when dealing with stakeholders at all levels.

Pay: ₹12,000.00 - ₹16,000.00 per month
