Executive Assistant to the Managing (MD)

Position Summary

We are seeking a highly proactive, organized, and dependable Executive Assistant to provide comprehensive support to the Managing Director. This is not a conventional EA role. We are looking for an individual with exceptional ownership, anticipation, and execution skills—someone who can proactively manage priorities, ensure timely follow-ups, and keep the MD's professional and personal commitments running seamlessly.

Experience

3–5 years of experience as an Executive Assistant, Personal Assistant, or Secretary to a Managing Director, CEO, or senior executive.
Demonstrated experience in handling confidential information and supporting senior leadership.
Stable employment history with long-term tenures preferred.

Educational Qualification

Graduate in any discipline.
Diploma or certification in Secretarial Practice, Executive Assistance, or Business Administration will be an added advantage.

Key Skills & Competencies

Outstanding follow-up skills with the ability to track, monitor, and ensure timely completion of tasks. (This is the most critical requirement.)
Excellent planning, coordination, and organizational abilities.
Strong proficiency in MS Office, particularly Microsoft Excel and Word.
Excellent written and spoken English.
Shorthand or fast note-taking skills will be an advantage.
High level of integrity, honesty, and confidentiality.
Ability to prioritize multiple assignments and work under pressure.
Strong interpersonal and communication skills.
Self-motivated, detail-oriented, and capable of working with minimal supervision.

Key Responsibilities

Manage the MD's calendar, appointments, meetings, and travel arrangements.
Ensure timely follow-up on internal and external commitments until closure.
Coordinate with departments, clients, vendors, and other stakeholders on behalf of the MD.
Prepare reports, presentations, correspondence, and meeting minutes.
Maintain confidential records and documents.
Screen calls, emails, and visitors while prioritizing important matters.
Assist the MD with administrative and personal assignments as required.
Monitor deadlines and ensure all action items are completed within agreed timelines.

Preferred Candidate Profile

Resides within approximately 45 minutes of the office to ensure availability and punctuality.
Flexible working attitude with the willingness to handle urgent assignments beyond routine responsibilities.
Highly dependable, trustworthy, and committed to supporting the MD's priorities.
Professional, mature, and capable of representing the office with discretion.

Compensation

Salary: Rs. 25,000 – Rs. 40,000 per month (depending on experience and suitability).

Pay: ₹25,000.00 - ₹40,000.00 per month
