Job Summary

We are looking for a proactive and detail-oriented Computer operator to manage the complete tendering process for the organization. The candidate will be responsible for identifying relevant government, PSU, institutional and corporate tenders, studying tender requirements, coordinating internally for technical and commercial inputs, preparing bid documents, and ensuring timely submission of tenders.

The role requires strong attention to detail, good documentation skills, familiarity with online tender portals, and the ability to coordinate with multiple departments and customers.

Key Responsibilities

Search and identify relevant tender opportunities through various Government, PSU, GeM, e-Procurement and other tender portals.
Regularly monitor tender websites and communicate suitable opportunities to the management.
Download and thoroughly study tender documents, specifications, eligibility criteria, technical requirements, commercial terms and conditions.
Prepare a tender summary/compliance sheet highlighting important requirements, submission deadlines, EMD, performance security, experience criteria, technical specifications and other critical conditions.
Coordinate with the technical, sales, purchase and accounts teams for obtaining necessary inputs and documents.
Prepare complete technical and commercial bid documentation.
Ensure all supporting documents, certificates, authorizations, credentials, work orders and completion certificates are properly compiled and submitted.
Prepare declarations, undertakings, covering letters and other tender-related documentation.
Upload and submit bids on various online tender portals within the stipulated deadline.
Maintain a proper database and record of all submitted, ongoing, awarded and unsuccessful tenders.
Track pre-bid meetings, corrigenda, clarifications, bid opening dates and tender results.
Coordinate with customers and internal teams for responding to tender queries and clarifications.
Follow up on submitted bids and monitor the status until finalization.
Assist in preparing documents for reverse auctions, price bids, negotiations and post-award formalities, wherever applicable.
Ensure compliance with all tender conditions and minimize the risk of rejection due to documentation errors or non-compliance.
Maintain confidentiality of commercial information and tender-related documents.
Support the management in preparing reports on tender opportunities, bid status and business conversion.

Desired Skills & Qualifications

Graduate in any discipline; candidates with a background in Business Administration, Commerce, Engineering or related fields will be preferred.
0-2 years of experience in tendering, bid management, sales coordination or government procurement.
Experience in handling GeM and other government e-tender portals will be preferred.
Good understanding of tender terminology, bid documentation, EMD, bid security, performance security, eligibility criteria and technical compliance.
Strong proficiency in MS Word, Excel and PDF documentation.
Excellent written communication and documentation skills.
Ability to read and interpret technical specifications and tender terms.
High level of accuracy and attention to detail.
Good organizational and time-management skills.
Ability to work under strict submission deadlines.
Strong coordination and follow-up skills.
