JOB SUMMARY
We are seeking a friendly, professional Front Office Associate to join the Front Desk at Hotel Le Royal Park. The successful candidate will be the first point of contact for guests, providing exceptional service during check-in, check-out, and all guest interactions while ensuring smooth front office operations and memorable guest experiences.
KEY RESPONSIBILITIES
Guest Check-In & Check-Out:
- Greet guests warmly upon arrival and assist with check-in process
- Verify guest reservations and process registrations efficiently
- Assign rooms based on guest preferences and availability
- Explain hotel facilities, amenities, and services to guests
- Process check-out procedures and handle billing
- Collect payment and process transactions accurately
- Issue room keys and provide information about room features
Guest Services:
- Respond to guest inquiries via phone, email, and in-person
- Provide information about local attractions, restaurants, and transportation
- Assist guests with luggage arrangements and concierge services
- Handle guest requests and complaints promptly and professionally
- Coordinate with housekeeping and maintenance for room ready status
- Arrange taxi services, airport transfers, and tour bookings
- Maintain guest preferences and special requests in system
Administrative Duties:
- Maintain accurate guest records and reservation data
- Prepare daily reports (occupancy, arrivals, departures)
- Handle cash, credit card transactions, and folio management
- Answer phone calls and route to appropriate departments
- Maintain front desk cleanliness and professional appearance
- Update guest profiles and maintain CRM database
- Process mail, messages, and guest deliveries
Coordination:
- Liaise with housekeeping on room status and cleaning priorities
- Coordinate with reservation team on booking confirmations
- Work with sales team on VIP guest arrangements
- Communicate with other departments on guest needs
- Assist with group check-ins and banquet event coordination
Night Duties (if applicable):
- Handle night audit procedures
- Review daily transactions and prepare reports
- Monitor hotel security during night shift
- Address late arrivals and night guest needs
QUALIFICATIONS & REQUIREMENTS
Essential:
- 1–3 years of experience in front office or guest service (hotel experience preferred)
- High school diploma; Degree/Diploma in Hospitality Management preferred
- Excellent communication and interpersonal skills
- Proficiency in PMS (Property Management System) and Microsoft Office
- Strong customer service orientation and problem-solving skills
- Professional appearance and grooming standards
- Fluency in English and Tamil,Hindi ; French is a plus (valuable for Pondicherry)
- Ability to work flexible shifts including mornings, evenings, nights, weekends, and holidays
- Physical ability to stand for extended periods and lift up to 10 kg
- Attention to detail and accuracy in work
Preferred:
- Previous experience in 3–4 star hotel front office
- Knowledge of Opera PMS or similar hotel software
- Multilingual skills (French, Tamil, English, Hindi)
- Certification in hospitality or front office operations
