Job Summary

We are looking for a well-organized, responsible, and professional Office Coordinator / Executive Assistant to support the management team in day-to-day administrative and coordination activities. The candidate will be responsible for managing schedules, communication, documentation, meetings, follow-ups, and coordination between different departments.

Key Responsibilities

Manage the daily schedule, appointments, meetings, and important reminders of management.
Coordinate communication between management and various hotel departments.
Prepare and maintain reports, documents, letters, notices, and presentations.
Handle emails, phone calls, messages, and other official communication professionally.
Schedule and coordinate internal and external meetings.
Prepare meeting agendas, take meeting notes/minutes, and follow up on assigned tasks.
Maintain proper records of important documents and confidential information.
Coordinate with department heads for daily updates, reports, and pending activities.
Follow up with different departments to ensure assigned tasks are completed on time.
Assist management in preparing daily, weekly, and monthly reports.
Maintain office files, registers, trackers, and administrative records.
Coordinate travel arrangements, meetings, guest visits, and official requirements when required.
Assist in preparing presentations and Excel/Google Sheets reports.
Handle confidential information with complete professionalism and discretion.
Support management in special projects, events, and administrative activities.
Ensure smooth day-to-day office coordination and communication.
Perform other duties assigned by management from time to time.

Required Skills

Good knowledge of MS Office – Word, Excel, PowerPoint and Google Workspace.
Strong organizational and time-management skills.
Good follow-up and coordination abilities.
Professional attitude and good grooming.
Ability to handle multiple tasks simultaneously.
Good written and verbal English; Hindi communication is an advantage.
Ability to maintain confidentiality.
Strong attention to detail.
Presentable, confident, and polite personality.

Qualification & Experience

Graduate in any discipline; degree/diploma in Business Administration, Hospitality, Management, or a related field is preferred.
1–3 years of experience in Office Administration, Executive Assistant, Personal Assistant or Coordination roles preferred.
Freshers with excellent communication and computer skills may also be considered.

Preferred Candidate

The ideal candidate should be smart, organized, proactive, reliable, and comfortable coordinating with senior management and multiple departments. The person should be able to prioritize work, maintain confidentiality, and ensure timely follow-up on important tasks.

Timely completion and follow-up of assigned tasks.
Accuracy of reports and documentation.
Effective meeting and schedule management.
Timely communication between departments.
Proper maintenance of records and confidential information.
Overall efficiency in supporting management and office operations.

Pay: ₹20,000.00 - ₹25,000.00 per month
