Full job description

Office Executive Duties and Responsibilities:

Drafting all type of administrative documents including letters/ memo/ emails etc.
Filing paperwork for various departments and maintaining a systematic database of filing, including all project-related and client-related documents, approvals, correspondence, agreements, and office records in an organized filing system.
Liaising with local government authorities, statutory departments to ensure timely completion of work.
Managing all vendor supplies including housekeeping/ stationary/ pantry/ office supplies, etc to make sure that all supplies have been procured with approvals on timely basis.
Monitoring daily work of office building, identifying bottlenecks, and taking corrective action to ensure smooth execution.
Coordinating with maintenance staff/ contractors for the upkeep of the building's mechanical, electrical, and plumbing (MEP) systems, and overseeing day-to-day facility/ building maintenance.
Coordinating with the Accounts team on vendor bills, purchase orders, payments, documentation, and other financial processes related to projects.
Preparing and maintaining MIS reports for all assigned tasks based on execution of work in progress, tracking progress, pending activities, and completed work, and submitting periodic updates to management.
Maintain petty cash
Receiving complaints and resolving problems (inhouse), ensuring timely closure of operational issues, and maintaining effective communication with vendors to close any complaints raised.
Performing any other operational or administrative responsibilities assigned by management from time to time.

Skills Required:

Excellent communication skills
Firm grasp of company policies
Multitasking and ability to work under pressure
Punctuality and time management skills
Proficiency in Microsoft Office (including MS Word, Excel, Outlook).
Basic working knowledge of building systems - mechanical, electrical, and plumbing (MEP) - will be preferred
Working knowledge of AutoCAD - will be preferred

Min Qualifications:

B. Com Graduate with ICSE background OR Diploma or Degree in Electrical/ Mechanical Engineering
Legal background (training/course) will be an added advantage.
