SENIOR ACCOUNTANT CUM MANAGER – JOB DESCRIPTION & WORK COMMITMENTS
Position: Senior Accountant Cum Manager
Department: Accounts & Finance
Reporting To: Management / Director / Authorized Senior Management
1. JOB SUMMARY
The Senior Accountant Cum Manager will be responsible for independently managing and supervising the Company's complete accounting and finance activities, ensuring accurate accounting entries, GST compliance, reconciliation, audit coordination, stock verification, financial controls, reporting, staff supervision, system improvement and data security.
This is a senior-level responsible position. The person appointed to this position shall be expected to perform duties with a high degree of accuracy, confidentiality, accountability and professional responsibility.
2. KEY RESPONSIBILITIES
A. ACCOUNTING & FINANCIAL ENTRIES
- Handle complete day-to-day accounting activities.
- Prepare and verify Debit Entries and Credit Entries.
- Verify Purchase, Sales, Receipt, Payment, Journal and Contra Entries.
- Ensure proper ledger posting and account classification.
- Maintain proper books of accounts and supporting documents.
- Verify outstanding receivables and payables.
- Conduct regular ledger scrutiny and identify unusual or incorrect entries.
- Ensure accounting records are complete, accurate and up to date.
- Maintain proper documentation for all financial transactions.
B. GST & TAXATION
- Handle all applicable GST-related compliance and documentation.
- Prepare/review applicable GST returns and forms.
- Verify Input Tax Credit (ITC).
- Perform purchase and sales reconciliation with GST records.
- Check GSTR-1, GSTR-3B and other applicable GST-related filings/reconciliations.
- Coordinate with tax consultants/CA wherever required.
- Identify GST discrepancies and take corrective action after management approval.
- Maintain proper GST records for audit and statutory requirements.
- Keep himself/herself updated regarding changes in GST rules and applicable taxation requirements.
C. DATA RECONCILIATION
- Perform regular reconciliation of:
- Bank Accounts
- Customer Ledgers
- Vendor Ledgers
- GST Data
- Purchase Data
- Sales Data
- Stock Data
- Receivables & Payables
- Other financial records
- Investigate mismatches and ensure timely correction.
- Maintain reconciliation statements and supporting records.
- Escalate major discrepancies to management immediately.
D. AUDIT RESPONSIBILITY
The Senior Accountant Cum Manager shall be responsible for supporting and coordinating periodic/quarterly audit activities, including approximately every 3-month audit cycle, as applicable.
Responsibilities include:
- Prepare audit schedules and supporting documents.
- Coordinate with auditors and consultants.
- Provide required accounting data and explanations.
- Verify audit observations.
- Follow up on pending audit points.
- Ensure corrective actions are implemented.
- Maintain proper audit files and records.
- Ensure books and supporting documents remain audit-ready.
E. STOCK VERIFICATION & PHYSICAL VERIFICATION
The employee may be required to travel to different company locations, factories, warehouses, stores or other places for physical verification.
Responsibilities include:
- Physical stock verification.
- Reconciliation between physical stock and system stock.
- Identification of shortage/excess/difference.
- Verification of raw material, consumables, finished goods and other inventory.
- Preparation of stock verification reports.
- Investigation of material/accounting discrepancies.
- Reporting major discrepancies to management.
- Coordinating with Stores, Purchase, Production and Accounts departments for corrective action.
Travel: Travel to another plant, warehouse, branch, factory or other company location shall be considered part of the job responsibility whenever required by management.
3. ACCOUNTING SYSTEM & ERP RESPONSIBILITY
The employee must properly understand and operate the Company's accounting software/ERP/system.
Responsibilities include:
- Understand the existing accounting and ERP system.
- Ensure correct data entry and transaction flow.
- Identify system/process weaknesses.
- Suggest improvements wherever the existing system is not suitable.
- If any system/process requires modification, the employee shall prepare a proper proposal and present the recommended system/process to the management/boss.
- No major system/process change shall be implemented without obtaining appropriate management approval.
- After approval, ensure proper implementation and monitoring.
- Train concerned staff members regarding approved system/process changes.
4. STAFF MANAGEMENT & TRAINING
The Senior Accountant Cum Manager shall supervise and guide the Accounts team.
Responsibilities include:
- Allocate work among Accounts staff.
- Check staff performance and accuracy.
- Train junior and existing staff members.
- Explain accounting procedures and company systems.
- Develop proper working procedures.
- Ensure work is completed within defined timelines.
- Identify staff errors and take corrective measures.
- Maintain discipline and professional working standards.
- Ensure proper backup/knowledge sharing so that critical accounting work does not depend on only one person.
5. MANAGEMENT REPORTING
The employee shall provide accurate and timely information to management regarding:
- Receivables
- Payables
- Bank position
- Cash position
- GST position
- Outstanding payments
- Outstanding collections
- Stock discrepancies
- Accounting discrepancies
- Audit observations
- Financial/control-related issues
- Other important Accounts & Finance matters
Any major financial discrepancy, suspected irregularity, unauthorized transaction or serious accounting issue must be brought to management's attention without unnecessary delay.
6. DAILY WORK REPORT – MANDATORY
Submission of a Daily Work Report (DWR) shall be mandatory.
The Daily Work Report should contain:
- Work completed during the day.
- Important accounting entries completed.
- Reconciliation completed.
- GST/accounting work completed.
- Pending work.
- Issues/discrepancies identified.
- Follow-up required.
- Audit/stock-related activities, if any.
- Next day's planned work, wherever applicable.
Failure to regularly maintain and submit the Daily Work Report may be treated as failure to follow the Company's reporting procedure.
7. DATA SECURITY & CYBER SECURITY RESPONSIBILITY
Considering the increasing risk of email hacking, WhatsApp hacking, phishing, unauthorized access, data theft and cyber fraud, the employee must handle all financial and company data with strict security precautions.
The employee shall:
- Keep accounting data confidential.
- Not share passwords, OTPs or confidential credentials with unauthorized persons.
- Not open suspicious links, attachments or messages.
- Verify suspicious payment/account-change requests through proper channels.
- Follow Company's data-security procedures.
- Immediately report suspected hacking, phishing, unauthorized access or data leakage to management/IT.
- Not transfer company financial data to personal email, personal cloud storage or unauthorized devices.
- Maintain confidentiality of customer, vendor, employee and financial information.
8. CONFIDENTIALITY
All financial information, accounting data, GST data, customer/vendor information, bank information, salary information, business information, commercial terms, internal reports, passwords, system information and other confidential Company information shall be treated as strictly confidential.
The employee shall not disclose such information to any unauthorized person during or after employment, except where disclosure is legally required or specifically authorized by management.
9. SENIOR-LEVEL ACCOUNTABILITY
This position carries senior-level responsibility and accountability.
The employee is expected to:
- Take ownership of assigned responsibilities.
- Work independently within the approved authority.
- Identify problems before they become major issues.
- Maintain accuracy and financial discipline.
- Follow up until assigned work is properly completed.
- Not avoid responsibility by stating that a particular task was not specifically explained, where such task reasonably falls within the Accounts & Finance function.
- Escalate important matters to management at the appropriate time.
- Protect the Company's financial interests and confidential information.
The salary/compensation attached to this senior position is based on the level of responsibility, expertise, accountability and expected performance. Accordingly, the employee is expected to perform duties commensurate with the seniority of the position.
10. NO IMMEDIATE RESIGNATION / PROPER HANDOVER
The employee shall follow the Company's applicable notice-period and resignation policy.
Immediate resignation without proper notice, approval and handover shall not ordinarily be accepted unless specifically approved by management.
Before release from employment, the employee must properly hand over:
- Books of accounts
- Ledgers
- Reconciliation statements
- GST records
- Audit files
- Passwords/access as officially authorized
- Pending work
- Reports
- Supporting documents
- System knowledge
- Staff responsibilities
- Other Accounts & Finance-related matters
The Company may require a proper handover and clearance process before relieving the employee, subject to applicable law and the terms of employment.
11. CROSS-FUNCTIONAL COORDINATION
The Senior Accountant Cum Manager shall coordinate with:
- Management
- Accounts Team
- Finance Team
- Purchase Department
- Sales Department
- Stores Department
- Production Department
- HR & Administration
- Audit/CA/Tax Consultants
- Banks and financial institutions
- Customers and vendors, wherever authorized
12. INTERNAL CONTROL & PROCESS IMPROVEMENT
The employee shall continuously review accounting and financial processes and identify opportunities to improve:
- Accuracy
- Internal controls
- Reporting
- Reconciliation
- Documentation
- Audit readiness
- Cost control
- System efficiency
- Data security
- Transaction transparency
Any major process change shall be proposed to management with proper reasoning and implemented only after obtaining the required approval.
13. TRAVEL REQUIREMENT
The position may require travel to other company plants, factories, warehouses, stores, branches, offices, customer/vendor locations or other places for:
- Stock verification
- Audit work
- Accounting verification
- Reconciliation
- Internal control checking
- Documentation verification
- Other work assigned by management
Such travel shall be considered part of the employee's professional responsibility.
14. PROFESSIONAL CONDUCT
The employee shall:
- Maintain professional behaviour.
- Maintain confidentiality.
- Avoid unauthorized financial commitments.
- Avoid manipulation or concealment of accounting information.
- Never knowingly enter false or misleading accounting information.
- Immediately report suspected fraud or financial irregularity.
- Maintain proper records for every important transaction.
- Follow Company policies, procedures and management instructions.
15. PERFORMANCE EXPECTATIONS / KPIs
Performance may be evaluated on:
- Accuracy of accounting entries.
- Timely completion of accounting work.
- GST compliance and reconciliation.
- Bank and ledger reconciliation.
- Audit readiness and timely closure of observations.
- Stock verification accuracy.
- Reduction of accounting discrepancies.
- Quality of Daily Work Reports.
- Staff training and team management.
- System/process improvement.
- Data and cyber-security compliance.
- Timely management reporting.
- Proper handover and documentation.
- Overall ownership and accountability of the Accounts function.
16. GENERAL TERMS & CONDITIONS
- The employee shall perform all duties reasonably related to the Accounts & Finance function as assigned by management.
- Duties may be modified or expanded according to business requirements.
- The employee may be required to work at another Company location whenever reasonably required.
- All Company assets, documents, data and information must be protected.
- Unauthorized alteration/deletion of accounting records or company data is strictly prohibited.
- Any suspected fraud, manipulation, data theft or unauthorized transaction must be immediately reported.
- The employee shall comply with applicable Company policies and lawful management instructions.
- The employee shall maintain proper professional discipline and accountability expected from a Senior Manager-level position.
- Any serious misconduct, intentional financial irregularity, data misuse or violation of confidentiality may result in disciplinary action, subject to applicable law and Company policy.
17. AUTHORITY & APPROVAL
The Senior Accountant Cum Manager shall have appropriate authority to manage routine Accounts & Finance activities within the Company's approved system.
However, the employee shall obtain management approval wherever required, particularly for:
- Major financial decisions.
- Changes in accounting systems/processes.
- Unusual accounting adjustments.
- Write-offs.
- Major discrepancies.
- Unauthorized/exceptional transactions.
- Changes affecting financial controls.
- Any matter outside the employee's approved authority.
18. ACCEPTANCE OF RESPONSIBILITY
By accepting this position, the employee acknowledges that the role is a senior-level Accounts & Finance position and agrees to perform the assigned responsibilities with due care, accuracy, confidentiality, integrity, accountability and professional diligence.
The employee further acknowledges that proper Daily Work Reporting, accounting accuracy, GST compliance, reconciliation, audit support, stock verification, staff training, system understanding, data security and proper handover are essential responsibilities of the position.
Pay: ₹30,000.00 - ₹55,000.00 per month
