Full job description

Brief Job Description:

·Supports documentation and administrative activities related to production, procurement, stores, and audits.
·Prepares and maintains documents such as Purchase Requisitions (PR), Material Requisition Notes (MRN), and related records.
·Coordinates with various departments to ensure accurate documentation and record management.
·Maintains proper filing, tracking, and control of operational documents.
·Supports internal and external audit documentation requirements.

Job Summary:

We are seeking a detail-oriented and organized Documentation Support Executive to manage documentation and record-keeping activities in our fabrication and assembly operations. The candidate will be responsible for preparing purchase requisitions, material requisition documents, maintaining records, and supporting audit-related documentation. The ideal candidate should possess good organizational skills, basic knowledge of documentation processes, and proficiency in MS Office and ERP systems.

Job Responsibilities:

·Documentation & Record Management:

·Prepare and maintain documents such as Purchase Requisitions (PR), Material Requisition Notes (MRN), Goods Receipt records, and related documents.
·Maintain proper filing and systematic organization of operational and departmental records.
·Ensure accurate documentation and timely updates of records.
·Maintain document traceability and version control where applicable.

·Purchase & Material Coordination:

·Coordinate with procurement and stores departments for PR and MRN processing.
·Track status of purchase requests and material requirements.
·Maintain records of material requests, receipts, and usage.

·Audit Documentation Support:

·Prepare and organize documents required for internal and external audits.
·Maintain audit records, checklists, and compliance-related documentation.
·Ensure documents are readily available during inspections and audits.

·MIS & Reporting:

·Prepare daily, weekly, and monthly documentation status reports.
·Maintain records and data in Excel or ERP systems.
·Generate reports related to procurement, material movement, and documentation activities.

·Data Entry & ERP Support:

·Perform accurate data entry in ERP/software systems.
·Update records related to purchase, inventory, and production documentation.
·Verify data accuracy and report discrepancies if identified.

·Interdepartmental Coordination:

·Coordinate with production, stores, procurement, quality, and accounts teams for document-related activities.
·Follow up on pending approvals and documentation requirements.

·Compliance & Confidentiality:

·Ensure documentation complies with company procedures and policies.
·Maintain confidentiality of company records and documents.

·Workplace Organization:

·Maintain organized document storage, both physical and digital.
·Support implementation of proper documentation control practices.

·Other Duties:

·Assist in preparation of reports, presentations, and official records as required.
·Support administrative and operational documentation activities assigned by management.

Pay: ₹15,000.00 - ₹18,000.00 per month
