Job Summary

Pattabhi Agro Foods Pvt. Ltd. is seeking a highly organized, proactive, and professional Personal Assistant (PA) to provide comprehensive administrative and executive support to the Managing Director. The ideal candidate will be responsible for managing schedules, coordinating meetings, handling correspondence, maintaining confidentiality, and ensuring smooth day-to-day executive operations.

Key Responsibilities

Executive Support

Manage the Managing Director's calendar, appointments, meetings, and travel schedules.
Screen calls, emails, and correspondence, and prioritize matters requiring immediate attention.
Prepare meeting agendas, presentations, reports, and minutes of meetings.
Coordinate internal and external meetings, conferences, and business events.
Act as a liaison between the Managing Director and internal departments, clients, vendors, and stakeholders.

Administrative Responsibilities

Draft, review, and manage official correspondence, letters, and documents.
Maintain confidential records, files, and business information.
Track action items and follow up with concerned departments on pending assignments.
Organize and maintain office records and executive documentation.
Manage travel arrangements, accommodation bookings, and itinerary planning.

Coordination & Communication

Coordinate with various departments to ensure timely execution of management directives.
Facilitate effective communication between the Managing Director and key stakeholders.
Prepare business reports, MIS reports, and executive summaries as required.
Assist in project coordination and monitoring of strategic initiatives.

Confidentiality & Professionalism

Handle sensitive and confidential information with the highest level of discretion.
Maintain professionalism while interacting with senior management, clients, and external agencies.

Qualification

MBA / PGDM / Master's Degree in Business Administration, Management, Commerce, or related field.
Bachelor's Degree with relevant experience may also be considered.

Experience

3 to 8 years of experience as a Personal Assistant, Executive Assistant, or Secretary to Senior Management.
Experience in Manufacturing, FMCG, Food Processing, Agro Industries, or Corporate Offices will be preferred.

Required Skills

Excellent communication skills in English, Telugu, and Hindi (preferred).
Strong organizational and time-management abilities.
Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
Ability to prepare professional reports, presentations, and correspondence.
Strong coordination and interpersonal skills.
Ability to multitask and work under pressure.
High level of integrity and confidentiality.
