About the Company
Saman Tea Private Limited is one of India's largest exporters of tea and sunflower oil, with active trade operations across the Middle East and other international markets. We are seeking an experienced Exports & Imports Documents Executive to manage end-to-end documentation for our growing export and import portfolio at the EXIM Manager level.
Role Overview
The candidate will own the complete documentation lifecycle for exports and imports — from pre-shipment to post-shipment realization — ensuring full compliance with Indian customs regulations, RBI/FEMA requirements, FTP provisions, and international trade norms. The role demands hands-on operational depth across multiple Indian ports, strong commercial negotiation capability with shipping lines and CHAs, and a working relationship with customs officials.
Key Responsibilities
1. Export Documentation:-
- File Shipping Bills on ICEGATE — Free, Drawback, Advance Authorization, EPCG, and DFIA shipping bills
- Prepare commercial export invoices, packing lists, and statutory annexures (Annexure A/B/C)
- Manage Self-Sealing documentation under Circular 26/2017-Customs and subsequent amendments; coordinate factory stuffing permissions and supervision
- Submit VGM declarations, Shipping Instructions (SI), and Bill of Lading drafts within carrier cut-offs
- Issue and procure Certificates of Origin — preferential (CEPA, SAFTA, APTA, India-UAE CEPA, India-Mercosur, etc.) and non-preferential through DGFT/EIA/Chambers of Commerce
- Coordinate phytosanitary, fumigation, weight, quality, and health certificates — critical for tea and edible oil consignments
- Handle FSSAI export clearances, Tea Board export permits, and APEDA/Spices Board documentation where applicable
- Manage Letter of Credit operations end-to-end: LC scrutiny on receipt, document preparation under UCP 600 and ISBP guidelines, presentation, and discrepancy resolution
- Prepare documents for bank negotiation and discounting — Bill of Exchange, FIRC, BRC packs, and follow-through with the AD bank
2. Import Documentation
- File Bills of Entry on ICEGATE — Home Consumption, Warehousing (into-bond), and Ex-bond
- Manage bonded warehouse operations under Section 58 / Section 65 of the Customs Act, including warehousing extensions and ex-bond clearance
- Handle SVB (Special Valuation Branch) cases for related-party imports
- Coordinate first check / second check assessments, RMS outcomes, and customs examination
- File IGM/EGM amendments; manage High Sea Sales documentation where applicable
- Liaise with CFS, ICD, and bonded warehouse operators
3. Regulatory & Compliance
- Manage IEC, AD Code registration at multiple ports, and RCMCs (Tea Board, FIEO, EIC, APEDA, etc.)
- File and reconcile eBRC; monitor EDPMS and IDPMS with zero outstanding entries
- File LUT under GST and manage IGST refund claims, RoDTEP, and DBK (Drawback) scroll generation and reconciliation
- Manage Advance Authorization, EPCG, and DFIA lifecycle — application, SION fixation requests (Norms Committee), license amendments, and Export Obligation discharge / redemption
- Operate the Interest Equalisation Scheme (IES) for pre- and post-shipment export credit; ensure timely interest subvention and scrip claims
- Maintain AEO T2 compliance — KPI tracking, MOC reporting, internal audits, surveillance audits, and renewal documentation
- Ensure ongoing compliance with FEMA, RBI Master Directions on Export of Goods and Services, and the Foreign Trade Policy
4. Liaison & Commercial Negotiation
- Negotiate freight rates with shipping lines (MSC, CMA CGM, Maersk, Hapag-Lloyd, ONE, ZIM, COSCO, OOCL, regional carriers) — spot, contractual, BCO/NAC, and seasonal allocations
- Negotiate handling charges, THC, transportation, and ancillary charges with CHAs, freight forwarders, and 3PL providers across Nhava Sheva, Mundra, Pipavav, Kolkata, Haldia, Chennai, Cochin, and Tuticorin
- Liaise directly with Customs officials — Appraisers, Examiners, Superintendents, and Deputy/Assistant Commissioners — for assessment, examination, query resolution, and adjudication
- Coordinate with Tea Board of India, DGFT, FSSAI, Plant Quarantine, EIC, and Chambers of Commerce
- Manage bank relationships for export bill submission, packing credit, post-shipment finance, and EDPMS/IDPMS reconciliation
5. Reporting & Analytics
- Maintain real-time MIS on shipment status, document status, BRC realization, and drawback/RoDTEP receivables
- Track EXIM working capital cycle, license utilization, and EO discharge timelines
- Prepare monthly compliance dashboards for management review
Required Qualifications
Education
Graduate (any discipline); preference for B.Com / BBA / MBA in International Business or Logistics
Certifications
Diploma in Export-Import Management from IIFT / FIEO / IIMM (preferred)
Experience
7–10 years hands-on EXIM documentation; at least 3 years in a lead/managerial role
Port Exposure
Demonstrated operational experience across multiple Indian ports (Like- Nhava Sheva, Mundra, and one eastern port (Kolkata/Haldia) )
Mandatory Technical Skills
- ICEGATE portal —> expert level
- DGFT portal —> license applications, amendments, EO discharge
- EDPMS / IDPMS monitoring and reconciliation
- Bank trade portals (SBI / HDFC / ICICI / Kotak) for LC and document submission
- Advanced MS Excel
- ERP exposure (SAP / Tally / Oracle) —> Preferred

- FSSAI, Tea Board, APEDA, Spices Board procedures
- Marine cargo insurance, War Risk Surcharge, and BAF/CAF mechanisms
Personal Attributes:-
- Sharp negotiation skills with shipping lines and CHAs — commercial sense, not just documentation
- High ownership and ability to operate autonomously
- Detail-oriented; zero tolerance for documentation errors
- Strong written and verbal communication in English; Hindi essential; Bengali a plus
- Willingness to travel to ports at short notice for shipment exigencies
Compensation
Commensurate with experience and aligned with the EXIM Manager level. Performance-linked incentives applicable.
