Job description:
Key Responsibilities
1. Servers, Systems & ERP
- Install, configure and maintain on-premises and/or cloud servers for ERP, LMS, website, email and other institutional applications.
- Administer the college ERP and other academic/administrative systems (attendance, examinations, fees, feedback and reporting).
- Coordinate with ERP and software vendors, and with state platforms such as unified university/college management systems where applicable, for integrations, upgrades and support.
- Monitor system performance, availability and security; take proactive measures to avoid downtime.
2. Domain, Email IDs & Identity Management
- Manage the college domain(s) and DNS records for website, ERP, LMS, email and sub-domains, including SSL certificates.
- Create, manage and deactivate institutional email and domain IDs for students, faculty and staff, including password reset support.
- Implement and maintain role-based access control and security policies across all systems.
3. Network & Wi-Fi Infrastructure
- Design, deploy and maintain campus-wide wired and wireless networks, including configuration of switches, routers, firewalls and access points.
- Ensure secure, high-speed Wi-Fi coverage in classrooms, labs, offices, library and hostels.
- Monitor network performance and bandwidth; diagnose and resolve connectivity, speed and reliability issues.
4. Website, Hosting & Digital Presence
- Manage WordPress-based or similar websites, including content updates, plugin and theme management, user roles, security and performance optimisation.
- Handle domain hosting and website management: DNS configuration, SSL deployment/renewal, uptime monitoring and coordination with hosting providers.
- Support and execute SMS and WhatsApp marketing campaigns in coordination with the admissions and marketing team (data preparation, tool setup, sender IDs, template handling), ensuring compliance with DND and consent norms.
5. End-User Computing, Hardware & Labs
- Oversee installation, configuration and maintenance of desktops, laptops, printers, projectors and smart-classroom equipment.
- Manage all hardware work: diagnosis, repair or vendor coordination for PCs, laptops, network devices, printers and peripherals.
- Administer computer labs and exam labs (OS imaging, software deployment, user profiles, security hardening and exam-specific configurations).
- Ensure systems required for online exams, assessments and lab sessions are secure, updated and reliable.
6. Online Platforms, LMS, AI Tools & Asana
- Administer and support online platforms such as LMS/e-learning tools, exam portals, library systems, attendance and fee systems.
- Support integration and use of AI-based tools for teaching, learning and administration (e.g., chatbots, analytics dashboards, proctoring, plagiarism detection).
- Use, manage and support Asana (or equivalent work-management platform) for IT projects, task tracking, ticketing and coordination with other departments.
- Train team members and users on effective use of Asana and other online tools as required.
7. Security, Backup & Compliance
- Implement and maintain security best practices: endpoint protection, antivirus, OS and application patching, firewall policies, VPN and access control.
- Define and manage regular backup schedules for ERP, LMS, file servers and critical databases; periodically test restore procedures.
- Ensure compliance with the college IT Policy and relevant regulatory requirements and audit standards (University, AICTE, state higher-education authorities).
8. Support, Documentation & Team Coordination
- Act as the senior technical escalation point for all IT-related issues on campus.
- Supervise and mentor junior system administrators, network engineers and IT support staff.
- Maintain up-to-date documentation: network diagrams, hardware and software inventory, configuration details, SOPs and secured credential repositories.
- Plan and support IT readiness for key institutional events such as admissions, examinations, results and major academic programmes.
- Conduct basic user training for faculty, staff and students on ERP, LMS, email, AI tools, Asana and safe IT usage.
Required Qualifications
- Bachelor’s degree in Computer Science, Information Technology, Electronics or a related discipline (Master’s degree preferred).
- 5–8+ years of experience in system and network administration, with at least 3 years in a university or college environment.
- Strong hands-on experience with:
o Windows and/or Linux server administration.
o Active Directory, DNS, DHCP, Group Policy and related services.
o Campus LAN and Wi-Fi infrastructure, including configuration of switches, routers, access points and firewalls.
o Managing institutional domains, email platforms (e.g., Google Workspace, Microsoft 365 or similar) and SSL certificates.
Preferred Skills
- Prior experience managing IT in higher-education institutions, including ERP, LMS and state-mandated platforms (e.g., unified university/college management systems)
- Familiarity with AI/ML-based tools and cloud platforms (Azure, AWS or Google Cloud) for hosting applications and backups.
- Experience with WordPress, web hosting control panels and basic web security. Exposure to SMS/WhatsApp campaign tools and educational digital marketing support.
- Experience supporting NAAC/AICTE/University data requirements, dashboards and online feedback systems.
- Good communication skills; ability to interact effectively with management, faculty, staff, students and vendors.
- Working knowledge of Kannada in addition to English will be an added advantage.
