About the Role
We are looking for a responsible and organized Admin Executive to manage daily administrative activities and support smooth office operations.
- ADMINISTRATION & FACILITY MANAGEMENT
- Ensure smooth functioning of all administrative operations within the center.
- Monitor office infrastructure, seating arrangements, utilities, and operational readiness.
- Maintain office discipline, hygiene, and workplace standards.
- Supervise housekeeping, pantry, and security operations.
- Ensure proper upkeep of office premises, common areas, washrooms, cafeteria, and workstations.
- Coordinate office repairs, maintenance, and civil work requirements.
- INFRASTRUCTURE & MAINTENANCE
- Manage maintenance of AC systems, electrical systems, UPS, DG sets, lighting, and office equipment.
- Coordinate preventive and breakdown maintenance activities.
- Ensure minimum downtime of operational infrastructure.
- Monitor vendor SLA compliance for facility services.
- Handle escalation management related to infrastructure issues.
- PROCUREMENT & VENDOR MANAGEMENT
- Handle procurement of office assets, IT accessories, furniture, stationery, and operational materials.
- Float inquiries, compare quotations, negotiate pricing, and finalize vendors.
- Ensure timely purchase orders, delivery tracking, and payment coordination.
- Develop and maintain healthy vendor relationships.
- Monitor market trends, pricing fluctuations, and supply availability.
- Maintain procurement records and documentation.
- ASSET MANAGEMENT
- Maintain records of all company assets including PCs, laptops, UPS systems, headphones, LAN accessories, furniture, and electrical equipment.
- Conduct regular physical asset verification and audits.
- Ensure proper tagging, tracking, and allocation of assets.
- Monitor AMC and warranty status of assets.
- TRANSPORT & LOGISTICS MANAGEMENT
- Coordinate employee transportation and vendor logistics when applicable.
- Monitor fuel usage, transportation costs, and route optimization.
- Ensure smooth movement of materials and equipment between centers.
- SECURITY & SAFETY MANAGEMENT
- Ensure implementation of safety and security protocols.
- Coordinate with security agencies for manpower deployment and monitoring.
- Monitor CCTV systems and access control systems.
- Ensure fire safety compliance and emergency preparedness.
- BUDGETING & COST CONTROL
- Monitor administrative expenses and ensure cost optimization.
- Prepare monthly expense reports and MIS reports.
- Support budgeting and annual administrative planning activities.
- Identify opportunities for operational savings and efficiency improvements.
- TEAM COORDINATION & REPORTING
- Coordinate with Operations, HR, IT, Procurement, Finance, and Facility teams.
- Prepare daily, weekly, and monthly administrative reports.
- Escalate critical operational issues to management on time.
- Support management in expansion and infrastructure planning.
ELIGIBILITY CRITERIA
Educational Qualification:
- Graduate / Post Graduate in any discipline
- MBA / PGDM in Administration or Operations preferred for Assistant Manager role
Experience:
- Admin Executive: 1–3 Years
- Senior Executive: 3–5 Years
- Assistant Manager: 5–8 Years
