Position Overview
The Dispatcher plays a vital role in ensuring the smooth execution of transportation operations by coordinating freight movements, supporting drivers, and maintaining high service standards for our customers. This role requires strong decision-making abilities, attention to detail, and the capability to manage multiple priorities in a dynamic overnight environment.
The ideal candidate will have experience with flatbed operations, load booking, cross-border documentation, and transportation management systems.
Key Responsibilities Freight Planning & Load Management
- Source and book profitable freight opportunities through load boards including DAT, Loadlink, Truckstop, and other freight platforms.
- Manage and dispatch Flatbed, Step Deck, Conestoga, and Dry Van equipment efficiently.
- Monitor local and long-haul freight markets to maximize equipment utilization and revenue opportunities.
- Coordinate pickups and deliveries to ensure on-time service execution.
Driver Communication & Fleet Coordination
- Maintain continuous communication with drivers regarding dispatch instructions, route updates, customer requirements, and operational changes.
- Monitor fleet movements and proactively address delays, breakdowns, and service disruptions.
- Prioritize driver and customer requests based on operational urgency and business impact.
- Handle driver messages, operational inquiries, and emergency situations professionally and efficiently.
Cross-Border Operations & Customs Compliance
- Prepare, process, and submit ACE/ACI manifests for cross-border shipments between Canada and the United States.
- Coordinate with customs brokers to facilitate timely customs clearance.
- Ensure all customs documentation complies with applicable regulations and company standards.
- Monitor cross-border shipments to minimize delays and maintain service excellence.
Operational Support & Problem Resolution
- Respond quickly to operational challenges and implement effective solutions.
- Arrange roadside assistance, maintenance, and repair services for equipment breakdowns.
- Notify customers, operations teams, and management regarding delays or service exceptions.
- Document customer concerns, driver issues, and operational incidents accurately.
Documentation & Reporting
- Maintain accurate dispatch records and transportation documentation.
- Record and track all operational activities within transportation management systems.
- Prepare reports related to freight movements, service levels, and operational performance.
Qualifications & RequirementsRequired Qualifications
- Excellent verbal and written English communication skills.
- Minimum Grade 12 education or equivalent.
- Minimum 1 year of experience in related field is must.
- Strong organizational skills with the ability to multitask in a fast-paced environment.
- Excellent analytical, problem-solving, and decision-making abilities.
- High attention to detail and accuracy.
- Ability to work independently and collaboratively within a team setting.
- Willingness to work overnight shifts and weekends.
Preferred Qualifications
- Previous experience in transportation dispatch, logistics coordination, or fleet operations.
- Experience dispatching Flatbed, Step Deck, Conestoga, or Dry Van equipment.
- Hands-on experience using DAT, Loadlink, Truckstop, or similar load boards.
- Knowledge of TMW or other Transportation Management Systems (TMS).
- Experience managing ACE/ACI manifest clearances and cross-border freight documentation.
- Understanding of Canada–US transportation regulations and customs processes.
- International BPO experience is considered an asset.
