Full job description

Office Assistant / Stenographer

Location: Corporate Office, Chandigarh

Qualification: Bachelor’s Degree (B.Com preferred)

Experience: Minimum 3–5 years of experience as a Stenographer, Executive Assistant, Office Assistant, Secretary, or similar administrative role. Experience in reception/front desk handling, shorthand, drafting, and office administration is preferred.

Salary: ₹25,000 – ₹30,000 per month

Key Requirements

Proficiency in English shorthand and transcription.
Experience in handling reception/front desk responsibilities, including visitors, calls, and basic enquiries.
Excellent drafting skills for official letters, emails, notices, circulars, and business correspondence.
Ability to prepare accurate Minutes of Meetings (MoM) and maintain meeting records.
Excellent English communication, grammar, and business writing skills.
Fast and accurate typing speed in English.
Strong knowledge of MS Office (Word, Excel, PowerPoint, Outlook) and office documentation.
Ability to maintain confidentiality while handling sensitive company information.
Well-organized with excellent time management and multitasking abilities.
Professional personality with good interpersonal and communication skills.
Ability to coordinate with senior management and different departments.
Experience in handling official files, records, and document management.
Capable of managing calendars, scheduling meetings, and following up on action points.
Ability to work under pressure and meet deadlines with high accuracy.

Key Responsibilities

Draft official letters, notices, circulars, reports, and business correspondence.
Take shorthand dictation and accurately transcribe it into professional documents.
Prepare Minutes of Meetings (MoM) and ensure timely circulation.
Handle reception/front desk activities, including receiving visitors, attending calls, directing enquiries, and maintaining a professional reception area.
Maintain confidential files, records, and official documentation.
Coordinate meetings, appointments, and follow-up actions.
Handle incoming and outgoing correspondence, emails, and official communications.
Assist senior management in day-to-day administrative and secretarial functions.
Maintain proper filing systems, both physical and digital.
Prepare reports, presentations, and other management documents as required.
Ensure all documentation is accurate, properly formatted, and maintained in accordance with company standards.
Coordinate with internal departments and external visitors/vendors as required.
Maintain visitor records and ensure proper communication with concerned departments.

Pay: ₹25,000.00 - ₹30,000.00 per month
