ob Description – Back Office / Sales Coordinator

Job Title: Back Office & Sales Coordinator
Department: Sales / Operations

Job Summary

We are looking for an organized and proactive Back Office & Sales Coordinator to support the sales team with day-to-day coordination, documentation, order processing, customer communication, and sales-related administrative activities.

The candidate will act as a link between the Sales Team, Customers, Purchase Team, Accounts Team, and Management to ensure smooth and timely execution of sales activities.

Key ResponsibilitiesSales Coordination

Coordinate with the sales team for quotations, orders, enquiries, and customer requirements.
Prepare and share quotations, proforma invoices, sales orders, and other sales documents.
Follow up with customers regarding quotations, pending orders, payments, and deliveries.
Maintain proper records of enquiries, quotations, orders, and sales.
Coordinate with the sales team for daily and monthly sales reports.
Track pending enquiries and follow up for order conversion.
Coordinate with the warehouse/logistics team for product availability and dispatch.
Communicate order status and delivery updates to customers.

Back Office Operations

Maintain customer and product databases.
Handle routine documentation and data entry work.
Prepare MIS reports, sales reports and other management reports.
Maintain proper filing of invoices, quotations, purchase orders, and customer documents.
Coordinate with Accounts regarding invoices, payments, outstanding amounts, and GST-related documents.
Coordinate internally to resolve customer/order-related issues.
Ensure accurate and timely updating of data in Excel/ERP/CRM systems.

Customer Coordination

Respond to customer enquiries through phone, email, and WhatsApp.
Provide customers with product availability, pricing, quotation, and order-status information.
Maintain professional relationships with existing customers.
Coordinate with the concerned sales person for customer requirements and complaints.

Required Skills

Good knowledge of MS Excel and MS Office.
Good communication and coordination skills.
Good knowledge of email and internet applications.
Ability to prepare quotations and sales-related documents.
Basic understanding of sales, invoicing, stock, and order processes.
Good follow-up and organizational skills.
Ability to work under deadlines and manage multiple tasks.
Attention to detail and accuracy in documentation.
Knowledge of ERP/CRM software will be an advantage.

Preferred Qualifications

Graduate in any discipline.
1–3 years of experience in Back Office, Sales Coordination, Sales Support, Administration, or similar roles.
Candidates with experience in IT, CCTV, Networking, Electronics, Security Systems, or other B2B products will be preferred.

Key Performance Areas (KPI)

Timely quotation preparation and submission.
Enquiry and order follow-up.
Accuracy of sales documentation.
Order processing and delivery coordination.
Customer response time.
Sales report/MIS accuracy.
Coordination between sales, accounts, warehouse, and customers.

Candidate Profile

The ideal candidate should be responsible, organized, computer-friendly, good at follow-ups, and comfortable coordinating with multiple departments and customers. The candidate should have a positive attitude and be able to work independently as well as with the sales team.

Salary: depending on experience and skills.
