Job Title: Executive Secretary – PSG Institutions

Employment Type: Full-Time

Location: Coimbatore

Industry: Education

Qualification: Master’s Degree (MBA Preferred).

Experience: Minimum 10+ years of experience as executive or secretarial support, preferably in an educational institution, trust or corporate setting.

Job Summary:

We are seeking an Executive Secretary to provide administrative and operational support to the Management, including managing confidential communications, coordinating with institutional heads, preparing reports, monitoring key activities, and ensuring timely follow-up on Management directives. The ideal candidate should have strong communication, organizational, analytical, and multitasking skills, with the ability to work effectively with senior stakeholders.

Key Responsibilities:

· Manage and coordinate the daily schedule, appointments, meetings, and official engagements of the Management.

· Draft, review, and maintain official correspondence, reports, presentations, minutes, and other management documents with accuracy and confidentiality.

· Coordinate with Heads of Institutions, senior administrative officers, faculty, staff, and external stakeholders on behalf of the Management.

· Prepare and consolidate management reports, MIS, dashboards, and periodic updates covering institutional operations, HR, finance, projects, and other key activities.

· Support the Management in planning, monitoring, and following up on key projects, initiatives, and decisions, including tracking action points and ensuring timely closure.

· Organize and coordinate meetings, conferences, institutional visits, and official events, including preparation of agendas and meeting materials.

· Facilitate effective communication and coordination between the Management Office and various institutions/departments.

· Compile and analyze institutional data and information to support management review and decision-making.

· Utilize ERP, MIS, dashboards, and other digital tools for data management, monitoring, and reporting.

· Maintain systematic records and ensure the confidentiality and security of management-related information and documents.

· Provide timely updates to the Management on important developments, pending matters, and key action points.

· Perform other administrative, coordination, reporting, and management-support responsibilities assigned by the Management.

Desired Candidate Qualification

· Master’s Degree in any relevant discipline; MBA will be preferred.

· Minimum 10+ years of relevant experience in executive/secretarial support, management coordination, administration, or a similar role.

· Excellent written and verbal communication skills, with the ability to interact professionally with senior management, institutional heads, government officials, external partners, and other stakeholders.

· Strong analytical, report preparation, data compilation, and presentation skills.

· Proficiency in MS Office, particularly Word, Excel, and PowerPoint, with familiarity with ERP, MIS, and digital reporting tools.

· Strong organizational, multitasking, time-management, and follow-up skills, with the ability to prioritize tasks and meet deadlines.

· High level of confidentiality, integrity, discretion, and professionalism while handling sensitive management information.

· Proactive, self-motivated, dependable, and detail-oriented, with the ability to work independently and adapt to changing requirements and priorities.

· Experience in an educational institution, trust, corporate office, or similar senior management environment will be an added advantage.
