Full job description

We are seeking a detail-oriented and organized Admin Assistant to provide comprehensive support to our managers and employees, ensuring the smooth and efficient running of our daily office operations. The ideal candidate will be a proactive problem-solver with excellent communication skills and the ability to manage multiple tasks effectively in a fast-paced environment.

Core Responsibilities

Communication Management: Handle incoming calls, emails, and mail, directing queries to the appropriate parties or responding professionally on behalf of management.
Scheduling and Planning: Manage calendars, schedule appointments, and coordinate meetings, conferences, and travel arrangements (transportation) to prevent conflicts and ensure timely logistics.
Document and File Management: Prepare, edit, and proofread documents, reports, presentations, and correspondence (memos, letters, forms). Create and maintain organized physical and electronic filing systems and databases, ensuring confidentiality and accuracy.
Office Operations Support: Daily maintain our production report, Monitor and manage office supplies inventory, place orders, and coordinate maintenance for office equipment (printers, copiers, etc.).
Financial Assistance: Assist the finance department with basic bookkeeping tasks, such as tracking expenses, processing invoices, and reconciling reports.
Visitor Assistance: Greet visitors, clients, and guests, providing a welcoming presence and professional assistance.
Project and Event Coordination: Support the planning and execution of company events, meetings, and special projects, tracking deadlines and facilitating communication.

Candidates should have proven administrative experience and be proficient in office management software. Essential skills include strong organizational abilities, attention to detail, excellent communication (written and verbal), the capacity to multitask and prioritize, and adaptability. A professional demeanor and sound judgment, particularly when handling confidential information, are also necessary. A high school diploma or equivalent is required, with an associate or bachelor's degree often preferred.
