Full job description

Job Title: Executive Assistant

Location: In-person work required (6 hours at the office, 2 hours remote work)

Work Schedule: 8 hours per day (including remote work), occasional travel required

Role Overview:

We are seeking a highly organized and detail-oriented Executive Assistant to support a senior executive in both professional and personal tasks. This role involves a combination of administrative duties, financial coordination, and staff management. The ideal candidate must be proactive, discreet, and capable of handling multiple responsibilities efficiently.

Key Responsibilities:

Office Work (6 hours/day, In-Person):
- Provide daily updates to the executive’s family on business performance, including ticket sales, cargo dispatch, and financial summaries.
- Tally and verify bills from travel agents, hotel stays, and other expenses related to household and business operations.
- Maintain accurate records of house-related expenses, ongoing construction projects, and other administrative work.

Remote Work (2 hours/day, Home-Based):
- Handle phone calls, coordination, and scheduling with travel agents, hotel reservations, and restaurant bookings.
- At times, workload may vary; some days may have no tasks, while others may require 2.5-3 hours of work.
- Ensure all personal and professional tasks assigned are completed promptly.

Staff & Personnel Management:
- Oversee the Personal Security Officers (PSOs) and drivers, addressing their concerns, schedules, and payments.
- Manage staff-related issues, such as salary delays, grievances, and work performance.
- Serve as the main point of contact for resolving logistical or operational issues involving household or office staff.

Travel Requirements:
- Willingness to travel internationally 2-3 times per year, including mandatory presence in Dubai every New Year’s Eve for event coordination.
- Possible travel during the summer based on work requirements.

Required Skills & Qualifications:

Proven experience as an Executive Assistant, Personal Assistant, or in a similar administrative role.
Strong organizational skills with attention to detail.
Ability to multitask and handle unexpected situations professionally.
Excellent communication and problem-solving skills.
Experience in handling VIPs, staff coordination, and financial records is a plus.
Proficiency in Microsoft Office, Google Suite, and basic accounting tools.
Flexibility to travel internationally as required.
