Full job description

Role Overview

We are looking for a highly organized and system-oriented Operations & Systems Executive who is excellent with Google Sheets, data management, follow-ups, and day-to-day financial and administrative tracking.

The ideal candidate should be someone who enjoys bringing structure to work, creating trackers and systems, automating repetitive processes, monitoring pending tasks, and ensuring that bills, payments, records, and follow-ups do not get missed.

This is not a purely accounting or administrative position. We are looking for someone who can understand existing processes, identify gaps, and create simple and effective systems to improve efficiency and accountability across the office.

Key Responsibilities

- Create, manage, and continuously improve Google Sheets trackers, dashboards, and reporting systems.

- Use formulas, filters, pivot tables, conditional formatting, data validation, and other advanced Google Sheets functions.

- Automate repetitive office processes wherever possible using Google Sheets and related tools.

- Maintain systematic tracking of bills, invoices, payments, expenses, vendor dues, and outstanding amounts.

- Verify whether payments have been made and maintain proper supporting records.

- Coordinate with the accounts team for payment status, documentation, reconciliations, and pending entries.

- Maintain trackers for tasks assigned to different team members and regularly monitor pending follow-ups.

- Ensure important tasks, payments, approvals, and deadlines do not get missed.

- Create clear pending-task and follow-up reports for management.

- Organize digital records, files, documents, invoices, and office information in a structured manner.

- Identify inefficiencies in existing office processes and suggest better systems.

- Create simple SOPs, checklists, formats, and workflows for recurring activities.

- Coordinate between different team members to ensure information is updated correctly and on time.

- Maintain management dashboards showing key pending items and important operational information.

- Check data accuracy and highlight discrepancies or missing information.

- Assist management in creating systems that improve accountability and reduce dependence on verbal follow-ups.

Skills Required

- Strong command of Google Sheets and Microsoft Excel.

- Comfortable with advanced formulas, Pivot Tables, Lookup functions, filters, conditional formatting, and data organization.

- Experience creating trackers, dashboards, MIS reports, or operational systems.

- Basic understanding of accounting, invoices, expenses, payments, vendor ledgers, and reconciliations.

- Strong follow-up and coordination skills.

- Ability to organize large amounts of information systematically.

- Good attention to detail and ability to identify errors or missing data.

- Comfortable learning new software and automation tools.

- Strong problem-solving mindset.

- Ability to work independently and take ownership of responsibilities.

Preferred Candidate Profile

- 2–5 years of experience in operations, MIS, accounts coordination, business operations, or a similar role.

- Prior experience in a small or mid-sized company where the candidate has handled multiple responsibilities will be preferred.

- Candidates who have independently created Google Sheets systems, dashboards, or automated workflows will have an advantage.

- Experience working closely with business owners or senior management is preferred.

“How can I organize this better, track it properly, automate repetitive work, and make sure nothing gets missed?”

The person should be dependable with follow-ups, comfortable working with numbers and data, and capable of becoming a strong operational support system for management.

Important

Candidates applying should have strong practical knowledge of Google Sheets.

During the interview process, candidates may be asked to demonstrate their ability to create a tracker, use formulas, organize data, and suggest improvements to an existing workflow.
