Patient Experience & Clinic Coordinator

Gurugram Clinic | Mon–Sat · 9 AM – 6 PM | Reports to Dr. Neha Mehta

ABOUT THIS ROLE

Dr. Neha Mehta is India’s leading Intimacy & Relationship Expert — with 10 million+ YouTube subscribers, 15,000+ couples helped, and a growing range of clinical services, wellness packages, and medicines. As we expand our Gurugram presence, we’re looking for one sharp, warm, and organised person to be the heart of our clinic operations.

This is not a receptionist role. You will be the person patients speak to, trust, and come back to. Your core focus will be on ensuring every patient gets into the right Package or Medicine plan — and that their journey with Dr. Neha is seamless from day one.

WHAT YOU’LL DO

1. Appointment & Schedule Management

– Manage daily appointments for Dr. Neha and all therapists on the portal

– Schedule follow-up sessions — therapy, diet, and exercise consultations

– Monitor and manage FMS cases (Pending + Confirmed) — updated daily

– Maintain 100% schedule accuracy with zero missed or double-booked slots

– Coordinate with the Hisar clinic team when needed for patient continuity

2. Patient Guidance & Lead Conversion

– Follow up with warm leads who have shown interest but haven’t booked yet — 70%+ are already warm and just need the right conversation

– Understand what each patient needs and guide them toward the right Package or Medicine plan

– Handle all pre-consultation queries with empathy, patience, and clarity

– Manage Gurugram walk-ins — greet, understand their need, and onboard them warmly

– When a patient is interested in a Course or Ebook, handle the conversation positively — either complete the sale or smoothly connect them to the right team member

3. Package & Medicine Tracking

– Track all active Packages — sessions completed, pending, and renewal due dates

– Proactively reach out to patients nearing the end of their Package for smooth continuation

– Track Medicine plans — ensure patients are following through and flag any drop-offs

– Manage all booking statuses accurately: Confirmed / Pending / Waiting List

– Keep the portal fully updated — no booking unresolved beyond defined TAT

4. Payment Collection & Reconciliation

– Collect payments from walk-in patients, issue receipts, and maintain daily records

– Update payment tracking sheet every day without exception

– Verify and reconcile online payments (Razorpay / Paytm Bank)

– Verify therapist payouts and maintain accurate payment records

– Ensure zero unreconciled entries at end of each week

5. Therapist Support & Coordination

– Be the go-to person for all therapists — resolve their queries the same day

– Create and keep therapist profiles updated on the portal at all times

– Coordinate with therapists on schedules, appointments, and patient management

– For any tech, marketing, or online product matters — coordinate with Devyani (Digital Chaabi)

6. Reporting & Daily Operations

– Share daily and weekly operational updates with Dr. Neha covering Appointments, Bookings, Payments, and Therapist Activity

– Ensure all portal updates are completed within defined timelines

– Proactively flag any exceptions, delays, or issues before they become problems

– Close all open tasks and leave a clean daily log before end of day

WHAT SUCCESS LOOKS LIKE IN 90 DAYS

– Every warm lead is followed up — no one falls through the cracks

– Patients leave every interaction knowing exactly what their next step is

– Packages and Medicine plans are actively tracked and renewals never missed

– Appointment calendar is always up to date — zero confusion, zero double-bookings

– Accounts team has clean, reconciled data every week without being asked

– Daily reports to Dr. Neha are shared on time, every single day

WHO YOU ARE

– 1–3 years of experience in a clinic, wellness centre, edtech, or any client-facing role

– Warm and confident in conversations — patients feel heard and guided, not sold to

– Organised by nature — you close tasks, not just start them

– Fluent in Hindi and English both

– Naturally empathetic — you understand that patients in a wellness clinic need extra sensitivity

– Comfortable with numbers — payments and reconciliation are part of your daily rhythm

– Flexible when needed — occasional off-hours coordination doesn’t throw you off

– Bonus: Experience with clinic portals, Razorpay, or CRM / appointment management tools
