The Spare Parts Manager is responsible for overseeing the complete spare parts operations including inventory management, procurement, warehousing, stock control, vendor coordination, dispatch planning, and parts availability to support service and maintenance activities. The role ensures optimum inventory levels, minimizes downtime, improves stock accuracy, and maintains cost-effective spare parts management systems.
The ideal candidate should possess strong analytical, organizational, and leadership skills with experience in inventory planning, ERP systems, warehouse operations, and supply chain coordination.
Key Responsibilities1. Inventory & Stock Management
- Maintain optimum inventory levels of spare parts to ensure uninterrupted operations.
- Monitor stock movement, slow-moving items, dead stock, and fast-moving parts.
- Conduct regular inventory audits, cycle counts, and reconciliation.
- Ensure proper storage, labeling, and identification of spare parts.
- Maintain stock accuracy and reduce inventory variances.
- Develop reorder levels, safety stock, and minimum/maximum stock parameters.
2. Procurement & Vendor Coordination
- Coordinate with procurement teams and suppliers for timely procurement of spare parts.
- Evaluate supplier performance based on quality, delivery, pricing, and reliability.
- Negotiate pricing, lead times, and supply agreements with vendors.
- Ensure timely follow-up on pending purchase orders and deliveries.
- Identify alternate vendors for critical spare parts.
3. Warehouse Operations
- Supervise warehouse activities including receiving, storage, issuance, and dispatch.
- Ensure compliance with warehouse safety standards and housekeeping practices.
- Optimize warehouse layout for efficient material handling and space utilization.
- Monitor inward and outward movement of materials.
- Ensure proper documentation for all warehouse transactions.
4. Spare Parts Planning
- Forecast spare parts requirements based on equipment maintenance schedules and historical consumption.
- Coordinate with maintenance/service teams for planned shutdowns and urgent requirements.
- Develop strategies to reduce equipment downtime through effective parts availability.
- Analyze consumption trends and prepare monthly inventory reports.
5. ERP & Documentation
- Maintain accurate records in ERP/SAP/inventory management systems.
- Generate MIS reports related to inventory, stock aging, shortages, and procurement.
- Ensure proper documentation of GRNs, invoices, stock transfers, and material issue notes.
- Implement process improvements and digital inventory controls.
6. Team Management
- Lead and supervise storekeepers, warehouse staff, and inventory coordinators.
- Allocate responsibilities and monitor team performance.
- Conduct training on inventory procedures, safety, and system usage.
- Foster discipline, teamwork, and operational efficiency.
7. Compliance & Safety
- Ensure compliance with company policies and inventory control procedures.
- Maintain adherence to safety, environmental, and quality standards.
- Ensure proper handling of hazardous or sensitive materials if applicable.
- Support internal and external audits.
Required Qualifications
- Bachelor’s Degree/Diploma in Supply Chain, Mechanical Engineering, Logistics, Business Administration, or related field.
- Certification in Inventory Management or Supply Chain Management is an added advantage.
Experience Required
- 5–10 years of experience in spare parts management, warehouse operations, or inventory control.
- Experience in manufacturing, automobile, heavy equipment, construction equipment, industrial machinery, or service industry preferred.
- Prior experience handling ERP/SAP systems preferred.
