Front Office Associate (FOA) – Job Description

Department: Front Office / Guest Relations
Location: Katra (Jammu)
Reporting To: Regional Manager

About the Role

A Front Office Associate (FOA) is the face of the property and plays a key role in delivering a smooth, comfortable, and memorable guest experience. The FOA is responsible for guest handling, check-ins/check-outs, reservations, guest support, coordination with housekeeping, and ensuring high standards of hospitality at all times.

Key ResponsibilitiesGuest Handling & Hospitality

Welcome guests professionally and assist them during check-in and check-out.
Ensure a warm, friendly, and efficient guest experience.
Handle guest queries, requests, complaints, and escalations politely and promptly.
Maintain excellent guest relations and ensure guest satisfaction.

Reservations & Booking Management

Manage online and offline bookings through PMS and OTA platforms.
Coordinate room allocation and occupancy updates.
Monitor cancellations, extensions, and walk-in guests.

Front Desk Operations

Maintain accurate guest records and documentation.
Verify guest IDs and complete registration formalities.
Handle cash/card transactions and billing processes.
Maintain shift reports, occupancy reports, and handover notes.

Coordination & Operations

Coordinate with housekeeping and maintenance teams for room readiness.
Ensure cleanliness and presentation standards at the reception and common areas.
Assist in smooth operational flow during peak occupancy.

Safety & Compliance

Follow company SOPs, safety protocols, and hospitality standards.
Ensure proper handling of guest belongings and confidential information.
Report operational issues or suspicious activities immediately.

Desired Skills & Qualifications

Graduate or diploma in Hospitality/Hotel Management preferred.
Good communication and interpersonal skills.
Basic computer knowledge and familiarity with PMS systems.
Ability to handle guests professionally under pressure.
Presentable personality with a customer-first attitude.
Flexibility to work in rotational shifts.

Preferred Experience

0–3 years of experience in hotels, hostels, pod hotels, or customer service roles.
Freshers with good communication skills can also apply.
