Office Manager – Cam Crew Photography

Location: Edappally, Kerala
Position: Full-Time
Department: Operations & Client Management

About the Role

Cam Crew Photography is looking for a responsible and organised Office Manager to manage our day-to-day studio operations, client coordination, marketing activities, and internal team communication.

The ideal candidate should be comfortable handling clients, coordinating with photographers/editors, following up on enquiries, and keeping the office workflow organised.

Key Responsibilities

1. Client Coordination

Handle incoming client enquiries through WhatsApp, phone calls, Instagram, and other channels.
Understand client requirements and coordinate meetings.
Follow up with leads and assist in converting enquiries into bookings.
Coordinate with clients regarding shoot dates, locations, schedules, payments, albums, and deliverables.
Maintain good relationships with existing and potential clients.
Handle client queries professionally and ensure timely responses.

2. Marketing & Lead Management

Support the company's Instagram and other social media activities.
Coordinate with the content/creative team for regular posts, reels, and promotional content.
Generate and follow up on potential leads.
Maintain and update the lead database.
Coordinate with wedding planners, venues, event managers, makeup artists, and other potential referral partners.
Assist in planning and executing marketing campaigns and promotional activities.
Track enquiries, follow-ups, conversions, and marketing performance.

3. Office Management

Manage the daily operations of the studio/office.
Maintain schedules for shoots, meetings, client appointments, and team activities.
Coordinate between photographers, cinematographers, editors, designers, and clients.
Keep track of ongoing projects and their progress.
Maintain client records, booking details, invoices, payment status, and other office documents.
Ensure smooth communication between different departments.
Handle basic administrative and organisational tasks.

4. Team Coordination

Coordinate daily tasks and schedules with the photography and post-production teams.
Follow up on pending works and deadlines.
Help ensure that projects move smoothly from shooting to post-production and final delivery.
Communicate important client requirements to the respective team members.

5. Sales & Follow-Up

Respond quickly to new enquiries.
Schedule consultations and meetings.
Follow up with potential clients until booking confirmation.
Maintain proper records of quotations, bookings, advances, and pending payments.
Assist the management team with sales and business development activities.

Skills & Qualifications

Good communication skills in English and Malayalam.
Strong client-handling and interpersonal skills.
Basic understanding of marketing and social media.
Good organisational and time-management skills.
Ability to multitask and manage multiple clients/projects simultaneously.
Good follow-up skills and attention to detail.
Basic knowledge of Google Workspace, Excel/Google Sheets, WhatsApp Business, Instagram, etc.
Ability to communicate and coordinate effectively with a creative team.
Problem-solving attitude and ability to handle situations calmly.
Previous experience in office management, client coordination, sales, marketing, event management, or a creative industry will be an advantage.

Preferred Qualities

Any Graduate degree
0-1 years of experience
Good knowledge of Marketing & Digital Marketing is a plus
Comfortable speaking with clients and business partners.
Good at maintaining records and following up.
Interested in photography, weddings, events, media, or the creative industry.
Willing to learn and take ownership of responsibilities.

We are looking for someone who can become the central point of coordination for Cam Crew Photography — keeping clients happy, the team organised, leads followed up, and daily office operations running smoothly.

Pay: ₹15,000.00 - ₹30,000.00 per month
