Full job description

Job Summary

The Medical Records Technician is responsible for maintaining, organizing, securing, and managing patient medical records in accordance with healthcare regulations and hospital policies. The role ensures the accuracy, completeness, confidentiality, and timely availability of patient health information for clinical, legal, and administrative purposes.

Key Responsibilities

Maintain and organize patient medical records in physical and electronic formats.
Review medical records for completeness, accuracy, and compliance with documentation standards.
Retrieve, file, scan, and archive patient records as required.
Ensure confidentiality and security of patient information in compliance with applicable privacy regulations.
Process requests for medical records from authorized healthcare providers, patients, and legal entities.
Assign and verify medical record numbers and maintain patient indexing systems.
Coordinate with physicians, nurses, and other healthcare professionals to obtain missing documentation.
Update electronic health records (EHR) accurately and promptly.
Assist with medical record audits and quality assurance activities.
Maintain record retention and disposal schedules according to regulatory requirements.
Support accreditation, licensing, and compliance audits.
Generate reports related to medical records and health information management.
Report any discrepancies or breaches of confidentiality immediately.

QualificationsEducation

Diploma or Bachelor's degree in Health Information Management, Medical Records Technology, Healthcare Administration, or a related field.

Experience

1–3 years of experience in medical records management or health information services preferred.
Fresh graduates may be considered for entry-level positions.

Required Skills

Knowledge of Electronic Health Record (EHR) systems.
Understanding of medical terminology and healthcare documentation.
Familiarity with ICD, CPT, and other medical coding systems (preferred).
Strong organizational and record management skills.
Excellent attention to detail.
Good communication and interpersonal skills.
Proficiency in Microsoft Office applications.
Ability to maintain confidentiality and handle sensitive information.
Time management and multitasking abilities.
