Executive Assistant to CEO

Position Overview

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide comprehensive support to the CEO. The ideal candidate will act as a trusted partner in managing priorities, schedules, communications, travel, and administrative responsibilities while ensuring smooth coordination between personal, professional, and philanthropic commitments.

Key Responsibilities

Executive Support

Manage and maintain the CEO’s calendar, appointments, meetings, and daily schedule.
Track priorities, deadlines, and action items, ensuring timely follow-ups and execution.
Assist the CEO in organizing tasks and aligning work according to business priorities.
Prepare meeting agendas, minutes, presentations, and reports as required.
Act as a gatekeeper for incoming requests and communications.

Email & Communication Management

Monitor, organize, and prioritize emails.
Draft responses, correspondence, and business communications on behalf of the CEO.
Coordinate with internal teams, clients, vendors, and stakeholders.

Travel & Logistics Management

Plan and manage domestic and international travel arrangements.
Coordinate flights, hotels, transportation, and travel itineraries.
Ensure all travel-related documentation and schedules are in place.

Coordination & Administration

Coordinate with the CEO’s driver regarding daily schedules, routes, and transportation requirements.
Maintain important records, documents, contracts, and paperwork.
Ensure efficient filing and document management systems.

NGO & Family Office Support

Manage and maintain administrative paperwork related to the NGO operated by the CEO’s spouse.
Coordinate meetings, documentation, compliance requirements, and stakeholder communication for the NGO.
Assist with special projects and family office-related administrative tasks as needed.

Meeting & Calendar Management

Schedule and coordinate meetings, conferences, and events.
Manage invitations, reminders, venue bookings, and follow-ups.
Ensure the CEO is adequately prepared for all meetings and engagements.

Qualifications

Bachelor’s degree preferred.
1+ years of experience as an Executive Assistant, Personal Assistant, or similar role.
Excellent organizational and multitasking abilities.
Strong verbal and written communication skills.
Proficiency in Microsoft Office, Google Workspace, WhatsApp, email management, and calendar tools.
Ability to handle confidential information with discretion.
Strong follow-up skills and attention to detail.
