We are currently hiring for the following positions at Hotel Saffron Leaf:
Executive Assistant to Managing Director (EA to MD) – Duties & Responsibilities
- Provide high-level administrative and executive support to the Managing Director.
- Manage the MD’s daily calendar, appointments, meetings, and schedules.
- Coordinate internal and external meetings on behalf of the MD.
- Prepare meeting agendas, presentations, reports, and necessary documents.
- Maintain accurate records of meetings, discussions, decisions, and action points.
- Prepare and circulate Minutes of Meeting (MOM) and follow up on pending action items.
- Coordinate with department heads and management to ensure timely completion of tasks assigned by the MD.
- Act as a communication link between the MD and various departments, stakeholders, clients, vendors, and business associates.
- Handle emails, correspondence, letters, notices, and official communications as required by the MD.
- Draft professional letters, memos, reports, presentations, and other business documents.
- Screen and prioritize calls, messages, meetings, and requests directed to the MD.
- Maintain confidentiality of sensitive company, management, financial, employee, and business information.
- Organize and maintain important files, contracts, reports, records, and confidential documents.
- Follow up with different departments on important deadlines, projects, approvals, and management instructions.
- Prepare daily, weekly, and monthly updates for the MD as required.
- Coordinate travel arrangements, hotel bookings, transportation, itineraries, and meetings for the MD.
- Assist in organizing management meetings, conferences, business events, and official functions.
- Track important commitments, deadlines, renewals, appointments, and follow-ups.
- Support the MD in monitoring ongoing projects and special assignments.
- Collect and compile information from different departments for management review and decision-making.
- Assist in preparing business presentations, MIS reports, dashboards, and management summaries.
- Coordinate with HR, Finance, Operations, Sales & Marketing, F&B, Front Office, Housekeeping, Security, and Engineering as required.
- Ensure that instructions and decisions communicated by the MD are properly understood and followed up.
- Maintain a professional relationship with guests, VIPs, clients, owners, vendors, and business partners.
- Assist in VIP guest coordination and special arrangements when required.
- Handle confidential and sensitive matters with complete discretion and professionalism.
- Maintain professionalism, punctuality, grooming, and a high level of organizational discipline.
- Perform any other duties or special assignments entrusted by the Managing Director.
Additional Responsibilities in a Hotel / Hospitality Company
For Hotel Saffron Leaf / Saffron Leaf Collective, the EA to MD may also:
- Coordinate meetings between the MD and hotel General Managers, HODs, corporate teams, owners, and external partners.
- Follow up on operational issues highlighted by the MD.
- Coordinate information and reports from multiple properties/outlets.
- Assist with new projects, hotel openings, renovations, business development, and special management initiatives.
- Prepare schedules and briefing notes for MD visits, inspections, and property reviews.
- Coordinate important guest/VIP visits and management hospitality arrangements.
- Maintain a tracker of MD instructions, pending approvals, deadlines, and departmental action items.
- Assist in preparing management review documents and presentations.
- Maintain proper documentation of important decisions and approvals.
