The Project Expediter sits within the Supply Chain Management team and is a critical project delivery role. The purpose of the role is to ensure all Purchase Orders (POs) are managed, tracked, and executed on time; that supplier performance on documentation, FAT, and delivery is monitored and driven; and that any supply chain risks or deviations are identified early and escalated proactively to the UK project team.
What will you do?
Key Areas of Responsibility (KARs):
1. Purchase Order (PO) Management & Tracking

Review, log, and maintain a live tracker of all issued POs across all substation packages

Confirm PO acknowledgement and acceptance from all suppliers within required timeframes
2. Document Expediting & Submittal Control

Chase, track, and log all contractually required supplier documents: ITP, MDR, drawings, calculations, test plans, O&M manuals, and certificates

Monitor supplier document submission schedules against contractual milestones and agreed timelines

Coordinate with the UK engineering and design team to ensure timely document review and approval
3. Factory Acceptance Testing (FAT) Coordination

Coordinate FAT schedules with suppliers and align with UK project team availability and programme requirements

Issue formal FAT notifications and invitations to all relevant Linxon and client stakeholders
4. Delivery & Logistics Coordination

Track all equipment and material deliveries against PO delivery schedules and site readiness.

Coordinate with suppliers, freight forwarders, and site logistics teams to confirm delivery arrangements.
5. Warranty Management & Defect Liability Period (DLP)

Maintain a warranty register for all procured equipment covering warranty start dates, DLP periods, and expiry dates.

Coordinate warranty claim submissions with suppliers on behalf of the UK project team.
6. Risk Identification, Escalation & Contingency Flagging

Proactively identify supply chain risks including delivery delays, document non-submission, supplier capacity issues, and quality concerns

Assess risk impact and likelihood — providing early warning to the UK team before issues become programme-critical
7. Supplier Communication & Relationship Management

Act as the primary point of contact between the UK project team and suppliers for day-to-day expediting matters.

Conduct regular supplier progress calls, document minutes, and circulate action logs
8. Commercial Awareness — Claims, Contractual Notices & Negotiation
Issue contractual notices (delay notices, performance warnings, claims notifications) in accordance with PO terms.
Support the SCM Manager in preparing and managing claims against suppliers for LDs, defects, or delays.
