Job Brief :
We are seeking a detail-oriented and proactive HR Assistant to join our central HR team. In this role, you will provide vital administrative and operational support across our educational institutions. You will assist in managing the complete lifecycle of both teaching (faculty) and non-teaching staff, maintaining meticulous employee databases, assisting with institutional recruitment cycles, and ensuring smooth compliance with educational board regulations.
Key Responsibilities :
1. Recruitment & Onboarding Support
- Assist in posting job vacancies for academic (Professors, Teachers, Lecturers) and non-academic roles (Admin, Lab Assistants, Security, Housekeeping) on job portals and local Chennai networks.
- Coordinate and schedule interview panels involving Principals, Deans, and Trust Board Members.
- Manage the verification of educational credentials, certificates, and background checks unique to the academic sector.
- Prepare and issue offer letters, appointment orders, and coordinate the onboarding process for new hires ahead of the academic term.
2. Employee Records & Documentation
- Maintain comprehensive digital and physical files for all staff members, tracking qualifications, service registers, and promotions.
- Update and maintain the Human Resources Information System (HRIS) regularly.
- Monitor staff attendance, biometric data, leave records, and vacation schedules (casual leave, summer/winter vacations).
3. Compliance & Statutory Support
- Help maintain records related to statutory compliance such as Provident Fund (PF), Employee State Insurance (ESI), and professional tax, specific to the Chennai/Tamil Nadu region.
4. Payroll & Benefits Coordination
- Compile monthly attendance data, loss of pay (LOP) details, and increments to assist the finance/payroll department.
- Respond to routine employee queries regarding salary slips, leave balances, and institutional benefits.
5. Staff Welfare & Relations
- Assist in the administrative handling of staff grievances and disciplinary tracking.
Key Requirements & Qualifications :
- Education: Bachelor’s degree in Business Administration (BBA), Commerce (B.Com), or any discipline. A Master’s degree in HR (MBA-HR / MHRM) or a PG Diploma in HR is highly preferred.
- Experience: 1–3 years of experience in an HR administrative or assistant role. Prior experience working within an educational institution or a trust structure in India is a major advantage.
- Languages: High proficiency in English and fluent spoken Tamil is essential for interacting effectively with diverse campus staff.
Required Technical & Soft Skills :
- Software Proficiency: Excellent hands-on experience with MS Office (especially MS Excel for data tracking) and Word for drafting letter.
- Organization: Ability to handle heavy documentation volumes during peak academic hiring seasons (April–June).
- Discretion: High level of integrity and capability to handle confidential employee details and salary information securely.
- Communication: Polite, empathetic, professional communication skills, Flexible, Highly Collaborative with the team.
