Job Description: Dispatch Executive

Position: Dispatch Executive
Company: VForm Tecnopacks
Department: Dispatch / Logistics
Location: Varanasi
Reporting To: Dispatch Manager / Operations Manager

Job Summary

The Dispatch Executive is responsible for coordinating and managing the dispatch of finished goods, ensuring timely deliveries, maintaining accurate dispatch records, and coordinating with production, stores, transporters, and customers to ensure smooth logistics operations.

Key Responsibilities

Plan and execute daily dispatch activities as per delivery schedules.
Prepare dispatch documents, including delivery challans, invoices, e-way bills, packing lists, and transport documentation.
Coordinate with the production and warehouse teams to ensure material readiness for dispatch.
Arrange transportation and coordinate with transporters for timely deliveries.
Verify quantities, packaging, and documentation before dispatch.
Track dispatched shipments and update customers/internal teams on delivery status.
Maintain dispatch registers and ERP/MIS records accurately.
Ensure compliance with company policies, safety standards, and statutory requirements.
Handle customer queries related to dispatch and delivery.
Monitor vehicle loading to ensure safe handling of materials.
Coordinate with stores for inventory movement and stock reconciliation.
Prepare daily, weekly, and monthly dispatch reports.

Required Qualifications

Graduate in any discipline (preferred).
Diploma or certification in Logistics/Supply Chain is an added advantage.

Experience

2–5 years of experience in dispatch, logistics, warehouse, or supply chain operations, preferably in a manufacturing environment.

Required Skills

Knowledge of dispatch documentation and logistics processes.
Familiarity with ERP systems (SAP, Tally, Oracle, or similar).
Proficiency in Microsoft Excel and MS Office.
Strong coordination and communication skills.
Good organizational and time management abilities.
Problem-solving and attention to detail.
Ability to work under pressure and meet dispatch deadlines.

On-time dispatch percentage.
Dispatch accuracy.
Documentation accuracy.
Delivery coordination efficiency.
Customer complaint resolution related to dispatch.
Inventory and dispatch record accuracy.

Working Conditions

Manufacturing plant and warehouse environment.
May require extended working hours during peak dispatch periods.
Coordination with transporters and customers on a regular basis.

Pay: ₹200,000.00 - ₹600,000.00 per year
