Front Office Executive & Executive Assistant – Job Description

We are seeking a well-organized, proactive, and professional Front Office Executive & Executive Assistant to support senior management and manage front office and administrative functions efficiently.

Key Responsibilities:

Manage front office operations and receive visitors, guests, and clients in a professional manner.
Handle incoming calls, emails, couriers, and official correspondence promptly and accurately.
Coordinate and manage Directors’ schedules, appointments, meetings, and daily calendar.
Arrange domestic and international travel bookings, including flights, hotels, transport, and itineraries for management.
Coordinate hotel bookings, accommodation, and travel logistics for management and guests.
Prepare meeting agendas, MOM (Minutes of Meeting), presentations, and follow-up communication.
Maintain confidential records, files, documents, and office data in an organized manner.
Support management in day-to-day administrative and coordination activities.
Prepare and maintain MIS reports, data sheets, and management reports.
Coordinate with internal departments for smooth workflow and task follow-ups.
Ensure proper hospitality arrangements for visitors, meetings, and business guests.
Assist in organizing events, meetings, and other management-related activities.

Requirements:

Graduate in any discipline (preferably Commerce / Arts / Management).
Proven experience in Front Office, Executive Assistant, or Administrative roles.
Experience in travel coordination and hotel booking management is required/preferred.
Excellent communication and interpersonal skills.
Strong proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
Strong organizational, multitasking, and time-management skills.
Ability to handle confidential information with integrity and discretion.

Preferred Experience:

2–5 years of relevant experience.
