Full job description

We are looking for a responsible, organized, and proactive Office Coordinator to support the day-to-day administrative and office operations. The role will involve coordinating with employees and departments, maintaining records and documents, assisting with HR and administrative activities, and ensuring the smooth functioning of the office.

Key Responsibilities

Office Administration

Handle day-to-day office administrative activities.
Maintain and organize office files, documents, records, and registers.
Assist with printing, scanning, photocopying, filing, and document preparation.
Maintain office stationery and other administrative supplies.
Coordinate courier, dispatch, and other office-related requirements.
Assist in maintaining a clean and organized office environment.
Coordinate with different departments for routine office requirements.
Follow up with employees and departments on assigned tasks and documentation.
Assist in scheduling meetings, appointments, and other office activities.
Coordinate with visitors, vendors, and service providers when required.
Communicate important information and requirements to the concerned departments.

HR & Employee Support

Assist the HR department with employee documentation and records.
Support attendance, leave, and other basic employee-related administrative activities.
Assist with joining formalities and collection of employee documents.
Maintain employee files and other HR records as instructed.
Assist in preparing letters, notices, forms, and other HR documents.

General Support

Assist management and other departments with administrative tasks.
Handle basic data entry and maintain Excel sheets and records.
Ensure timely completion of assigned administrative tasks.
Perform other duties and responsibilities assigned by the management from time to time.

Required Skills & Qualifications

Minimum 1–2 years of experience in office administration, coordination, or a similar role.
Graduate or equivalent qualification preferred.
Basic knowledge of MS Office, especially Word and Excel.
Good communication and interpersonal skills.
Good organizational and time-management skills.
Ability to coordinate with multiple departments and follow up on tasks.
Ability to maintain confidentiality of company and employee information.
