Role & Responsibilities:
Director’s Office Management
- Oversee and supervise the Director’s office operations, company activities, and employee coordination.
- Maintain an organized filing system for both electronic and physical documents related to the Director.
- Ensure strict confidentiality in all matters related to the Director and company operations.
- Handle Director’s administrative responsibilities including payments (credit cards, phone bills, etc.).
Customer Experience & Issue Resolution
- Coordinate with IT, tele-callers, and backend teams to assist customers regarding Website, App, and backend-related queries.
- Prepare summary reports for the Director outlining: Action plans taken, Customer satisfaction level & Team readiness and response
- Identify root causes of issues (system or personnel) and ensure corrective measures to avoid recurrence.
- Personally connect with high-profile clients to ensure smooth onboarding and service experience.
Website, App & System Monitoring
- Identify faults, bugs, and operational bottlenecks before they affect customers.
- Suggest improvements and new ideas for the Website, App, and backend systems.
- Conduct competitor analysis and monitor industry trends.
Strategic Partnerships & PR Activities
- Research and shortlist potential tie-ups, partnerships, and sponsorship opportunities with reputed industry players.
- Coordinate participation in trade fairs, exhibitions, and industry events through PR and PRO channels.
- Work with media houses, magazines, and PR agencies to maintain the Director’s public visibility and brand presence.
Recruitment & Talent Acquisition Support
- Assist in recruitment by screening candidates prior to the Director’s interview round.
- Review candidates from platforms such as LinkedIn, Facebook, Naukri, etc.
- Negotiate CTC and work profiles where required.
- Conduct due diligence and submit summary reports to the Director for second-round approvals.
Vendor & Contract Management
- Coordinate with vendors including identification, negotiation, and contract vetting.
- Provide suggestions to strengthen scope and contracts to safeguard company interests.
- Categorize vendors based on performance levels (L1, L2, T1, T2 etc.).
Interdepartmental Coordination
- Coordinate with sister companies, their directors, and staff to ensure smooth operations.
- Communicate progress updates to stakeholders and follow up on pending tasks.
- Ensure all deliverables are completed before being presented to the Director.
Representation & Decision Facilitation
- Represent the Director in internal and external meetings when required.
- Communicate the Director’s vision and decisions effectively.
- Close discussions and deals in line with the Director’s expectations with minimal involvement from them.
Team Oversight & Employee Development
- Monitor activities across departments to ensure smooth functioning and compliance with company policies.
- Motivate, train, and guide employees to stay aligned with company goals and objectives.
Reporting & Documentation
- Prepare reports, MIS, MOM (Minutes of Meeting), and project documentation for the Director.
- Analyze data and provide concise summaries and insights for decision-making.
- Draft internal and external corporate communications and documents.
Communication & Scheduling
- Manage executive communication including calls, emails, and stakeholder interactions.
- Schedule meetings, appointments, and maintain the Director’s calendar.
- Resolve conflicts and operational hurdles involving internal and external stakeholders.
Travel & Logistics
- Arrange travel plans, accommodation, and itineraries for the Director.
