Full job description

The Documentation Team Lead is responsible for managing, organizing, controlling, and maintaining company documents and records. This role ensures that all documentation is properly filed, version-controlled, approved, distributed, and archived in accordance with company policies. The position also supports administrative operations by coordinating document workflows, maintaining records, and ensuring compliance with internal procedures.

Key Responsibilities

Manage the complete document lifecycle, including creation requests, review, approval, issuance, revision, and archival.
Maintain document registers, trackers, and filing systems (physical and electronic).
Ensure all company documents are properly categorized, indexed, and easily retrievable.
Control document versions and maintain revision history.
Distribute approved documents to relevant departments and maintain distribution records.
Monitor document validity and coordinate periodic reviews and updates with document owners.
Archive obsolete documents according to company retention policies.
Ensure compliance with document control procedures and organizational standards.
Maintain confidentiality of sensitive company records.
Coordinate with various departments to collect, organize, and process documentation.
Support internal and external audits by preparing and providing required documentation.
Maintain records of approvals, acknowledgements, and document change requests.
Prepare routine administrative reports related to document status and compliance.
Assist with general administrative tasks, including record keeping, correspondence management, meeting documentation, and office filing.
Ensure documentation is complete, accurate, and available when required.

Qualifications

Bachelor's degree or diploma in Business Administration, Office Administration,
Management, or a related field.
3–5 years of experience in document control, records management, or administrative support.
Experience using document management systems (DMS), SharePoint, or similar document repositories is preferred.
Proficiency in Microsoft Office (Word, Excel, Outlook, and PowerPoint).
