Job Description – Executive Assistant to Director

Location: Flexible / Field & Office Work
Department: Management / Administration
Reporting To: Director

Job Summary:

We are looking for a highly responsible and proactive Executive Assistant to support the Director in day-to-day business operations, coordination, and field activities. The candidate must be flexible, trustworthy, and available to handle both office and field responsibilities, including visits to government offices, vendors, project sites, and other official locations as assigned by the Director.

The role requires excellent communication skills, time management, coordination abilities, and readiness to work beyond regular office hours whenever required.

Key Responsibilities:

Assist the Director in daily operational and administrative tasks.
Visit government offices, departments, and authorities for documentation, approvals, submissions, follow-ups, and official coordination.
Handle field work related to company operations and Director’s assignments.
Coordinate meetings, appointments, travel schedules, and business activities for the Director.
Maintain confidential files, records, and important company documents.
Prepare reports, letters, emails, and official correspondence.
Follow up with clients, vendors, contractors, and internal departments.
Manage urgent tasks and ensure timely completion of assigned work.
Be available for work support at flexible timings whenever required by the Director.
Support management in handling miscellaneous business and personal official tasks.
Travel locally or outstation as per business requirements.
Ensure smooth communication between the Director and external/internal stakeholders.

Required Skills & Qualifications:

Graduate in any discipline.
Good communication and interpersonal skills.
Knowledge of government office procedures and documentation work preferred.
Basic computer knowledge (MS Excel, Word, Email handling).
Strong coordination and problem-solving abilities.
Ability to work independently and under pressure.
Must be flexible for field work and extended working hours when required.
Valid driving license will be an added advantage.

Quick learner with multitasking ability.
Ready to travel and handle any assigned responsibility efficiently.
