JOB DESCRIPTION – PHARMACY INCHARGE

Department: Pharmacy
Designation: Pharmacy Incharge / Pharmacy Manager
Reporting To: Hospital Administration / Operations Head
Location: My Health Hospitals
Employment Type: Full-Time

1. Job Purpose

To manage the overall operations of the hospital pharmacy, ensuring 24×7 availability of medicines and consumables, proper inventory control, regulatory compliance, patient safety, and efficient pharmacy services.

2. Key Responsibilities

A. Pharmacy Operations

Supervise day-to-day pharmacy operations.
Ensure timely dispensing of medicines against valid prescriptions.
Monitor inpatient, outpatient, emergency and discharge medication requirements.
Ensure proper shift allocation and staffing.
Maintain smooth coordination with doctors, nursing, billing, purchase and stores departments.

B. Inventory Management

Maintain optimum stock levels of medicines and consumables.
Monitor minimum/maximum stock levels and reorder requirements.
Conduct regular physical stock verification.
Monitor near-expiry and expired medicines and maintain separate records.
Follow FEFO (First Expiry, First Out) principles.
Prevent stock-outs, overstocking and unnecessary purchases.
Investigate and report stock discrepancies immediately.

C. Purchase & Vendor Coordination

Prepare purchase requirements based on consumption and stock levels.
Coordinate with Purchase/Central Stores for timely procurement.
Verify medicines received against purchase orders and invoices.
Ensure medicines are procured only from authorized suppliers.
Monitor vendor performance and pending supplies.

D. Documentation & Compliance

Maintain pharmacy registers, records, invoices and documentation.
Ensure proper documentation for controlled/scheduled medicines as applicable.
Maintain records of inward, outward, returns, damages and expiry.
Ensure pharmacy operations comply with applicable Drugs & Cosmetics laws, Pharmacy regulations, hospital policies and NABH requirements.
Support internal and external audits and inspections.

E. Quality & Patient Safety

Ensure correct medicine, dosage, quantity and expiry date before dispensing.
Ensure proper storage conditions, including temperature-sensitive medicines.
Maintain cold-chain requirements wherever applicable.
Implement medication safety practices.
Report medication errors, adverse drug reactions and other pharmacy-related incidents to the appropriate authority.

F. Staff Management

Supervise pharmacists and pharmacy assistants.
Prepare duty rosters and allocate responsibilities.
Monitor attendance, punctuality and performance.
Conduct training and competency assessments.
Ensure staff follow hospital SOPs and safety protocols.

G. Financial Responsibilities

Monitor pharmacy billing and collection processes.
Minimize wastage, pilferage and inventory losses.
Reconcile pharmacy stock and billing records.
Monitor credit purchases, returns and adjustments.
Submit periodic pharmacy performance and stock reports to management.

3. Daily / Weekly / Monthly Responsibilities

Daily

Check opening and closing stock.
Review critical and fast-moving medicines.
Check refrigerator/cold-chain temperature records.
Review near-expiry medicines.
Monitor pending prescriptions and pharmacy issues.

Weekly

Review stock movement and consumption.
Review near-expiry and non-moving stock.
Verify selected high-value/high-risk medicines.
Review staff performance and operational issues.

Monthly

Conduct complete/periodic stock verification as per hospital policy.
Prepare consumption and purchase reports.
Prepare expiry, wastage and shortage reports.
Analyze fast-moving and slow-moving medicines.
Submit pharmacy KPI report to management.

4. Key Performance Indicators (KPIs)

Medicine availability / stock-out percentage
Inventory accuracy
Expiry and wastage control
Prescription dispensing accuracy
Purchase and consumption variance
Stock reconciliation accuracy
Pharmacy billing accuracy
Compliance with SOPs and statutory requirements
Audit observations and closure
Patient/doctor service satisfaction

5. Qualifications & Experience

B.Pharm / D.Pharm from a recognized institution.
Valid registration with the applicable State Pharmacy Council, where required.
3–5 years of relevant hospital pharmacy experience preferred.
Experience in hospital pharmacy operations and inventory management preferred.
Knowledge of hospital pharmacy software and inventory systems.

7. Authority & Accountability

The Pharmacy Incharge is accountable for the overall functioning, inventory, staff performance, documentation, medicine availability, quality and compliance of the hospital pharmacy and must immediately escalate critical shortages, discrepancies, medication errors, regulatory issues or patient-safety concerns to the appropriate management authority.

Pay: ₹30,000.00 - ₹35,000.00 per month
