Full job description

Job Summary

We are looking for a highly organized, proactive, and detail-oriented Executive Assistant – Client Operations to support an international client. The ideal candidate will be responsible for managing day-to-day operational activities, coordinating with internal teams, handling administrative tasks, and ensuring seamless execution of client deliverables. This role requires excellent communication skills, strong organizational abilities, and the capability to work independently while managing multiple priorities.

Key Responsibilities

Manage, prioritize, and track tasks from the client's task sheet to ensure timely completion.
Coordinate with relevant internal teams and follow up on assigned tasks.
Ensure deliverables are completed within deadlines while maintaining quality standards.
Review, prepare, and circulate meeting notes (MoMs) and track action items.
Manage the client's inbox by organizing, routing, and responding to emails as appropriate.
Assist in preparing proposals, quotations, and supporting documentation.
Conduct research and provide administrative support as required.
Support employee onboarding and offboarding activities.
Maintain contracts, documentation, and assist with contract reconciliation.
Collaborate with cross-functional teams to ensure smooth execution of client requirements.
Maintain accurate records, reports, and documentation.

Social Media Responsibilities

Manage and schedule organic content across LinkedIn, X (Twitter), and other relevant social media platforms.
Publish and schedule content using Buffer.
Update and maintain company profiles, including Google Business Profile.
Coordinate with internal teams to ensure timely publishing of content.

Required Skills & Qualifications

3–6 years of experience in Executive Assistance, Client Success, Project Coordination, Operations, or a similar role.
Excellent written and verbal communication skills.
Strong organizational and multitasking abilities.
Exceptional attention to detail and time management skills.
Ability to work independently and prioritize multiple tasks effectively.
Comfortable working directly with senior stakeholders and international clients.
Strong documentation, reporting, and follow-up skills.
Proficiency in Microsoft Office and Google Workspace.
