About the Role

Hari Chand Anand Machinery LLP is seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide comprehensive administrative and operational support to senior leadership. The ideal candidate will possess excellent communication, coordination, and organizational skills, with the added ability to communicate fluently in Mandarin Chinese to support interactions with international stakeholders, suppliers, and business partners.

This role requires someone who can effectively coordinate across multiple departments to ensure seamless communication, timely execution of tasks, and smooth day-to-day operations.

Key Responsibilities

Provide high-level administrative and executive support, including calendar management, meeting scheduling, travel arrangements, and correspondence.
Act as the primary point of coordination between senior management and internal departments.
Ensure smooth communication and timely follow-up across departments to minimize communication gaps and maintain operational efficiency.
Coordinate with Sales, Procurement, Finance, Operations, Logistics, HR, and other departments to track action items and ensure timely completion of deliverables.
Prepare meeting agendas, record minutes, and follow up on action points.
Draft, review, and manage business correspondence, presentations, reports, and other documentation.
Liaise with international clients, suppliers, and partners, particularly Chinese-speaking stakeholders.
Translate verbal and written communications between English and Mandarin Chinese whenever required.
Monitor ongoing projects and provide regular status updates to management.
Maintain confidentiality while handling sensitive business information.
Assist in planning company events, executive meetings, and business visits.
Perform additional administrative and coordination responsibilities as assigned by management.

Required Qualifications

Bachelor's degree in Business Administration, Commerce, Management, or a related field.
3–6 years of experience as an Executive Assistant, Executive Coordinator, or in a similar administrative role.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Excellent written and verbal communication skills in English.

Mandatory Skills

Fluency in Mandarin Chinese (spoken) is essential. Reading and writing proficiency is an added advantage.
Strong interpersonal and relationship management skills.
Exceptional organizational and multitasking abilities.
Ability to coordinate effectively with multiple departments and stakeholders.
Strong follow-up skills with attention to detail.
Excellent problem-solving and time-management capabilities.
Ability to work independently while managing multiple priorities.
High level of professionalism, discretion, and confidentiality.

Preferred Skills

Experience working with Chinese suppliers, manufacturers, or international business partners.
Familiarity with ERP systems and business management software.
Experience in manufacturing, engineering, or industrial machinery industries will be an advantage.
