Job Description: Back Office / Service Coordinator

Company: Mahalaxmi Diesels Pvt. Ltd. (Authorized Dealer – Kirloskar Oil & Engines Ltd.)

Location: Kolhapur, Maharashtra

Job Type: Full-Time

Department: Service Operations

Position Overview

We are seeking an organized, proactive, and detail-oriented Back Office / Service Coordinator to join our Kolhapur branch. In this role, you will act as the operational bridge between our customers, field service engineers, and internal management. You will oversee daily service site allocations, track engine maintenance records, manage billing and quotations, and ensure smooth closure of daily service requests (SRs) in line with Kirloskar service standards.

Key Responsibilities & Daily Routine1. Service Operations & Engineer Allocation

Assign and allocate daily site visits to Service Engineers (SE) based on customer locations and emergency service calls.
Track engineer locations, work progress, and daily site visit frequencies.
Ensure daily Service Reports (SRs) are collected, checked for accuracy, and officially closed in the system.

2. Service & Maintenance Record Keeping

Maintain up-to-date records of customer visits, service history, and site complaints.
Track and manage AMC (Annual Maintenance Contracts) for all active customer engines.
Maintain and monitor Bandhan records and schedule Bandhan PM (Preventive Maintenance) visits systematically.

3. Quotations, Billing & Documentation

Prepare and send prompt quotations for spare parts, overhauling, and routine servicing based on customer requirements.
Process accurate billing and invoicing for spare parts and service charges.
Maintain organized physical and digital records of service invoices, parts issued, and customer approvals.

4. Monitoring & Reporting

Track and maintain daily operational logs and engineer performance reports.
Follow up with customers post-service to ensure satisfaction and resolve pending administrative issues.
Coordinate with warehouse/spares team to check parts availability before assigning critical jobs.

Key Qualifications & Skills

Education: Graduate (B.Com, B.Sc, BBA, Diploma) or equivalent practical experience.
Experience: 1–3 years of experience in back-office coordination, customer support, or service desk roles (Experience in industrial equipment, automotive, or DG set dealerships is a strong plus).
Technical Skills:
Basic knowledge of MS Office (Excel, Word) and ERP / billing software.
Strong record-keeping and data entry skills.
Soft Skills:
Excellent communication skills in Marathi and Hindi (English is a plus).
Good organizational and multi-tasking abilities under tight daily schedules.

Pay: ₹12,000.00 - ₹15,000.00 per month
