Job Description
We are seeking an experienced and result-oriented Project Manager to take complete ownership of project execution from project initiation to final project closure. The Project Manager will be responsible for end-to-end planning, execution, monitoring, coordination, commercial follow-up, site management, resource planning, billing, client coordination, issue resolution, and project reporting.
The ideal candidate should have strong experience in managing engineering/manufacturing/MEP/project-based activities and must be capable of independently handling multiple project activities while ensuring timely completion, cost control, quality, safety, and customer satisfaction.
Roles & Responsibilities
1. End-to-End Project Planning & Execution
- Take complete ownership of projects from project handover/start-up to final completion and closure.
- Prepare comprehensive project execution plans covering scope, timeline, resources, materials, manpower, site activities, billing, and project milestones.
- Define project milestones, deliverables, priorities, dependencies, and execution strategies.
- Develop and maintain project schedules and ensure activities are completed within agreed timelines.
- Monitor project progress against planned schedules and take corrective actions wherever required.
- Ensure effective coordination between HO, site team, production, purchase, stores, QA/QC, finance, and management.
2. Material Planning & Management
- Prepare project-wise material requirements based on drawings, BOQ, project schedules, and site requirements.
- Coordinate with Purchase, Stores, Production, and Site Teams for timely material availability.
- Monitor material procurement, production, dispatch, delivery, and site utilization.
- Ensure materials reach the site as per project requirements and planned installation schedules.
- Identify material shortages or delays in advance and implement corrective actions.
- Control material wastage and ensure optimum utilization of project resources.
3. Manpower & Labour Planning
- Prepare project-wise manpower and labour deployment plans.
- Assess manpower requirements based on project scope, timelines, and site workload.
- Coordinate with Site Engineers and contractors for labour deployment and productivity.
- Monitor manpower utilization and productivity on a daily and weekly basis.
- Ensure adequate skilled and unskilled manpower is available as per project requirements.
- Resolve manpower-related issues affecting project progress.
4. Site Planning & Execution
- Take overall responsibility for site execution and project progress.
- Plan and monitor daily, weekly, and monthly site activities in coordination with Site Engineers.
- Review site requirements, work fronts, manpower, materials, tools, equipment, and dependencies.
- Ensure site activities are executed as per approved drawings, specifications, quality standards, and project schedule.
- Conduct regular site visits to assess actual progress, identify bottlenecks, and provide solutions.
- Analyse site conditions and take timely decisions to avoid project delays.
- Ensure proper coordination between site teams, clients, consultants, contractors, and internal departments.
5. Daily / Weekly / Monthly Project Monitoring
- Establish a structured Daily, Weekly, and Monthly Project Monitoring System.
- Review Daily Progress Reports submitted by Site Engineers.
- Track planned vs. actual progress and identify deviations.
- Prepare weekly and monthly project progress reviews for management.
- Monitor project milestones and critical activities.
- Maintain project-wise action trackers and ensure timely closure of pending points.
- Escalate critical project risks and delays to management with recommended solutions.
6. Project Progress Mapping
- Develop and maintain complete project progress mapping from start to completion.
- Track project activities against planned timelines and milestones.
- Monitor engineering, procurement, production, dispatch, installation, testing, handover, and closure activities.
- Identify project slippages and prepare recovery/action plans.
- Maintain project trackers, milestone charts, schedules, and progress dashboards.
- Ensure all project stakeholders have clear visibility of project status.
7. Client & Site Coordination
- Act as the key coordination point between the company, client, consultant, contractor, and site team.
- Attend project review meetings and discuss project progress, requirements, issues, and timelines.
- Maintain professional relationships with clients and project stakeholders.
- Understand client requirements and ensure timely communication to relevant internal teams.
- Resolve coordination gaps and ensure smooth flow of project activities.
- Handle escalations professionally and maintain customer satisfaction.
8. Site Compliance, Safety & Quality Planning
- Ensure all site activities are carried out in compliance with company policies, project requirements, safety standards, and applicable statutory requirements.
- Coordinate with Site Engineers and QA/QC teams for quality compliance.
- Ensure proper documentation, inspection, approvals, and records are maintained.
- Monitor site safety practices and ensure corrective actions for identified risks.
- Support internal, client, consultant, and statutory inspections/audits.
- Ensure project execution is aligned with approved drawings, specifications, and quality standards.
9. Billing & Commercial Coordination
- Establish project-wise billing plans aligned with project milestones and contractual terms.
- Coordinate with Site Engineers, Commercial/Finance teams, and clients for timely preparation and submission of bills.
- Verify site measurements, work completion, supporting documents, and billing requirements before submission.
- Monitor RA Bills / Running Bills / Final Bills and ensure timely submission.
- Track bill approval status and resolve billing-related queries.
- Maintain a complete billing tracker for each project.
- Ensure there are no unnecessary delays in billing due to documentation or coordination gaps.
10. Payment Follow-Up & Receivables
- Monitor project-wise payment schedules and outstanding amounts.
- Coordinate with Finance and Commercial teams for timely payment follow-up.
- Track submitted bills, approved bills, due dates, retention amounts, and outstanding payments.
- Follow up with clients for timely realization of project payments.
- Escalate delayed payments and commercial issues to management.
- Maintain project-wise payment and receivable status reports.
11. Project Cost & Resource Control
- Monitor project costs against approved budgets.
- Control manpower, material, subcontractor, logistics, and other project-related expenses.
- Identify cost overruns and take corrective actions.
- Ensure resources are utilized efficiently without affecting project quality or timelines.
- Support management in project profitability and cost-control initiatives.
12. Project Issue Resolution & Risk Management
- Identify project risks, bottlenecks, delays, and operational issues proactively.
- Analyse root causes of site and project-related problems.
- Develop practical and timely solutions in coordination with concerned departments.
- Maintain an issue and action tracker until complete resolution.
- Escalate critical issues to management with clear facts, impact, and proposed solutions.
- Develop recovery plans for delayed or critical projects.
13. Team Management & Skill Development
- Lead and guide Site Engineers, Project Coordinators, Supervisors, and other project personnel.
- Allocate responsibilities and monitor individual and team performance.
- Identify skill gaps within the project team.
- Support skill development and on-the-job training of Site Engineers and project staff.
- Establish clear accountability for project activities.
- Build a proactive, disciplined, and performance-oriented project team.
14. MIS & Management Reporting
- Prepare and present regular project MIS reports to management.
- Develop project dashboards covering:
- Project progress
- Planned vs. actual completion
- Material status
- Manpower status
- Billing status
- Payment status
- Project cost
- Pending issues
- Site issues
- Client concerns
- Project risks
- Recovery actions
- Present project status and key action points during management review meetings.
- Provide accurate and timely information for management decision-making.
15. Project Review & Performance Analysis
- Conduct periodic project performance reviews.
- Analyse project performance against Time, Cost, Quality, Safety, Scope, and Customer Satisfaction.
- Identify recurring problems and implement corrective/preventive actions.
- Maintain lessons learned for future projects.
- Recommend process improvements to improve project execution efficiency.
16. Project Closure & Handover
- Take complete responsibility for project closure after completion of execution activities.
- Ensure completion of pending works, punch points, testing, inspection, and client requirements.
- Coordinate final measurements, final billing, documentation, and payment follow-up.
- Ensure project handover is completed within agreed timelines.
- Close all site-related commercial, technical, quality, and documentation issues.
- Prepare final project completion and closure report.
- Document project learnings, challenges, achievements, and improvement areas
Preferred Background
- Experience in MEP, Engineering, Manufacturing, Industrial Projects, Construction, Infrastructure, or Project-Based Organizations.
- Strong hands-on experience in managing projects from start to end/closure.
- Experience in site execution, material planning, manpower planning, billing, client coordination, and project monitoring.
- Experience in managing Site Engineers, contractors, vendors, and project teams.
- Candidates with exposure to pipe supports, HVAC, plumbing, fire protection, fabrication, engineering products, or similar industrial projects will be preferred.
